I've got the steps you need to show the VAT on your invoice template, usernewinvoice2021.
To show the VAT on your invoice template, you need to make sure the Tax option is selected. Let me walk you through the process.
To help you utilize your invoice template in QuickBooks, you can go through this article: Customize invoices, estimates, and sales receipts in QuickBooks Online. This will give you more details on what other information you can add to your sales form as well as ways to personalize them.
Let me know if you have any other VAT concerns or questions about QuickBooks invoices by leaving a comment in this post. I'm always here to answer them. Have a great week ahead.
Tax invoice Header should show Company's VAT registration number. This is included in the Company details but does not pull through to the Tax Invoice Header as does the Contact details, Business Address and Business Reg. No
Thanks for joining the thread, LynetteTaurus.
There should be a field for your VAT number in the header section of your invoice, as shown below Please check your template again to find it.
If you don't see this information, please contact our Support team. That way they can use more tools to check this further.
If you have other questions in mind, please don't hesitate to go back to this thread. Have a good one!
@JessT the Company Registration Number is a different thing from VAT number. We need both to show on invoices. It is a legal requirement to have VAT number on tax invoices in EU, including Ireland, where I am based. The company registration number should be also shown, but it is not a requirement, VAT number is.
While on that subject, even when I selected the Company registration number option, it got renamed to something weirdly called "Govt UID" when I pressed Print. Please make sure to:
- Add VAT number on invoice headers
- Ensure Company registration number is printing as "Company registration number" for those who want to use it and not as some silly GOVT UID whatever that happens to be.
It is very annoying to see how Intuit seem incapable of such basic compliance with European Union regulations.
Hi @Rafal-tecflix-co,
I see that you created another post with the same question, which was already answered by one of my colleagues.
In case you missed it, the other post is on this page: Our VAT number is NOT showing on invoice headers.
Drop a comment below if you have other concerns with your invoice template in QuickBooks Online. I'll get back to you as soon as I can.
No, my question most definitely has not been answered on the other thread. Whoever tried answering it either did not read my question or does not understand the issue or perhaps is incompetent.
Please have another look and do answer my question because it is not acceptable that it is impossible to show our VAT number on invoices generated in Quickbooks. PLEASE READ my question carefully. Even better, answer what I asked above. Better twice than none at all.
Hello, RafalLukawiecki.
Thank you for sharing your concern here in the Community.
We can add the VAT number using the Custom field. This is a field that you can use to add anything to your invoice template.
Here's how:

Feel free to reply to this post if you have additional questions or concerns. I'm always here to help.
I am sorry @DebSheenD but your suggestion does not work because it does not show the VAT number in the header of the invoice where it is supposed to be. Further, this approach requires me to re-enter our VAT number every single time we create an invoice. This is unacceptable. Quickbooks, like other accounting packages *MUST* have an option of showing our VAT number on top of invoices in the header in order to comply with EU legislation. Otherwise your product should not be sold anywhere in European Union.
Please do not waste our time with these mediocre workarounds. Go and do the right thing: add the missing feature to the product so it is not half-baked like now. I really hate how you are trying to avoid following the correct course of action (fixing broken Quickbooks Online) and make it look like it is my problem. Oh, and don't ask me to do your work by submitting feature requests. I and others here have done enough on your behalf, now do your bit. Please.
The vat option does not appear as an available column to select when making an edit to the content for the invoice.
Can you please let me know how I can enter vat on my invoices. I am vat registered
Hi Schnitzelsticks,
Thank you for reporting about the missing VAT column on your invoice template. I've checked this on my test account for comparison. The Tax column is available, like in RoseMarjorieA's screenshot above. Let's do some steps to find the cause of this behavior.
We can start by signing in to your QBO company using a private window. This step will disable the extensions and stops the cache from saving your search history.
If you'll see the Tax column while on a private browser, you can clear your browser's cache. If not, please use a different browser to see if this only happens to the one you are using.
You can also check about customising forms for your additional reference.
If you have other concerns, feel free to go back to this thread. The QuickBooks team is always here to assist you.
I have tried with Chrome and Safari. The results are exactly the same I.e the Vat option is missing. Tried both methods too. Please advise. Do I need to register in Quickbooks anything to do with Vat to make this work? Very annoying!
Hello, Schnitzelsticks.
It's odd that when you go to the Custom form style to edit the invoice's content, the option to add the VAT column is missing.
Let's ensure to set up VAT so you'll have the option to add the VAT column in your invoices. I'll show you how.
After that, you can now start creating your invoices. If you still haven't seen the VAT column, you can follow the steps provided by my colleague Rose-A above to add it to your invoice template.
For your reference, you can read this article for more insights: How do I set up sales GST/VAT rates and use them on forms?.
If the issue persists, I recommend contacting our QuickBooks Online Support. They have the tools to pull up your account and submit a ticket for further investigation to know the root cause of this.
Here's how:
Meanwhile, I've added this resource to help you manage your account and the growth of your business using QBO: QuickBooks Help Articles. It also covers topics such as taxes, banking, and reporting.
I'm still open to your replies, please let me know if you need further assistance setting up VAT or managing invoices. I'll be here to help you.
I am also having this problem. My VAT is all set up. And i have tried to edit the custom form styles and it shows it as XXXXX it then says I have to edit it In VAT Centre.
This is pretty basic and should be easy QuickBooks. But can see other people having same issues, and so i have illegal invoices going out to clients without VAT numbers on!! Why doesn't it pull it in properly.
My accountant told me he had set up my invoice in QB, but doesn't look like he added the VAT section on, so pretty annoyed.
A
Congratulations on setting up your VAT in QuickBooks Online (QBO), @adelarks. I'll make sure you'll get the precise VAT number on your invoices.
Yes. Editing the VAT numbers can be done through the VAT Centre. The details will be reflected on your invoices every time your print or send them to your clients. You can follow these steps if you need to modify the numbers:
After that, record an invoice, then review the VAT registration number from there.
I'm adding these materials for more hints about the VAT feature in QBO:
If you're getting unexpected results while replicating the steps provided, I suggest accessing your account through a private window to narrow down the result. You can use either of these keyboard shortcuts to save you time:
Then, clear your browser's cache to start fresh.

Hi Angelyn, this is not working. I do not see 'Taxes' on my side panel, I see 'VAT' and when I press it, it takes me to "set up VAT" which I've already done. Please advise.
Hello there, gc27.
The Taxes menu applies to other regions or countries. Your QuickBooks Online subscription is for the International version. That's why you see the VAT menu instead of the Taxes menu.
Here's a screenshot for additional reference:
Also, since you're done setting up with VAT, I'd recommend refreshing your browser to see the updated information in the program. If the same thing happens, you can follow the steps below.
If you got the same result, make sure to set it up again. Then, click OK to reflect the changes.
