What You Need to Know About the New QuickBooks Online Interface

Big changes are coming to QuickBooks Online with the rollout of a new and redesigned user interface. Built on the Intuit Platform, this update is designed to make everyday tasks simpler, faster, and more intuitive.

To help you get up to speed, we’ve put together answers to the most frequently asked questions about what’s changing, when you can opt in, and how QuickBooks is evolving to make running your business easier than ever. Let’s dive in!

What is happening to the QuickBooks Online interface?

Starting in late August, QuickBooks Online will begin rolling out a new, modernised interface. This visual update is designed to create a simpler, more intuitive experience and marks the first phase of the larger Intuit Platform launch coming in November.

What additional features will be available in QuickBooks Online as part of early access?

The early access program is focused entirely on the new interface. No additional features are being introduced during this phase. This update sets the stage for future enhancements, including AI agents and expanded Customer Hub tools, which will launch in November.

How will these changes affect QuickBooks Online users?

The primary change is the new look and feel of QuickBooks Online. Core workflows, accounting features, and data will remain unchanged. The goal is to provide a cleaner and more user-friendly workspace without disrupting how users get work done.

How will this impact how I use QuickBooks Online?

While the new interface will update your navigation paths, your overall workflow will remain. Key settings, like bookmarks, will stay intact when you switch to the new version. We’ll also provide comprehensive training resources to help users navigate the transition confidently.

When will my QuickBooks Online account be transitioned to the new interface?

Early access begins in late August, giving select users preview access to the new design. By September, all QuickBooks Online users can switch to the new interface to try out the updated experience. Starting in November, the new interface will be rolled out gradually to all accounts.

Can I switch back to the old user interface?

Yes, you can switch back to the classic interface at any time using the settings gear icon. While this option will remain available during the rollout period, the classic interface will eventually be phased out.

Who can switch between the user interfaces?

Only the Primary Admin and Accountant of a QuickBooks Online account can switch between the new and classic interfaces.

How can I identify the Primary Admin for a QuickBooks Online account?

Log in to QuickBooks Online, then go to Settings > Manage users. From here, you’ll see a list of existing users, with the Primary Admin clearly displayed in the Role column. For steps to add or change users, check out this short video:

Will data be lost or impacted when switching between the new and classic views of QuickBooks Online?

No, switching between interfaces does not affect your financial data. All information stays intact and accessible regardless of which version you use.

Will there be a change in subscription price?

The enhancements to QuickBooks are part of our ongoing investment in the Intuit Platform. As such, there may be updates to your base subscription price in line with annual reviews. Any changes will be communicated directly in advance.

How does switching interfaces affect different users on the same account?

Interface settings are applied at the account level, not the user level. If an Accountant or Primary Admin switches an account to the new experience, it will apply to all users of that account. Similarly, reverting to the classic view will affect all users of that account.

How do I switch to the new QuickBooks experience?

To switch between interfaces, you must be the Primary Admin or Accountant user of the account. Navigate to the settings gear icon on the navigation bar. Then:

Select “Try a new version of QuickBooks” to switch to the new interface.

Select “Switch back to the previous QuickBooks experience” to revert to the classic view.

Will the user interface for the QuickBooks Desktop App also be changing?

No changes will occur for the Desktop App at launch. An update for the Desktop App interface will be scheduled at a later date.

Will a sandbox environment be available to test the new user interface?

No, there is no sandbox environment for testing. The option to easily switch between interfaces in the live environment serves as the preview tool.

What resources are available to help me learn about the changes?

You’ll have access to a full set of resources, including articles on our blog and informational webinars, to guide you through the transition. Stay tuned for specific links and schedules.

How can I share my feedback about the new design?

Your feedback matters! If you choose to revert back to the classic interface, you’ll be prompted to complete a short survey to share your thoughts. Feedback from this survey goes directly to our product team to help refine the experience ahead of the broader rollout. Additionally, you can share feedback anytime by clicking the settings gear icon and selecting “Feedback.”
