Alternative Solution to Customise Forms (Purchase Orders, Estimates, Invoices, Sales Receipts, etc.)

After recently transitioning to QuickBooks Online Advanced, like many other business from reading the online forums, we are shocked and fustrated that we are unable to properly customise many forms generated by QBs to send to our customers/suppliers.  And just like many other businesses, we need to include very specific information on our different forms that the Custom Form Styles tool just doesn't allow for. The missing information aside, we feel that the forms do not look as professional as they could and should.

Going from QuickBooks Desktop to Online has felt like a downgrade in this respect due to the lack of customiseability of the forms.

So I thought I would ask the community what everyone has done as an alternative. Any apps you have come across that integrate nicely into QuickBooks Online? Anyother packages you use in your business to convert the QB generated forms into custom form templates automatically? Other than having to re-write all entered info into a Word Document template after entering it into QuickBooks, I have not found any other solution or work-around.

Predicting some of the answers I will get from;

  • I have read the QB help page explaining how to customise form styles. This is inadequate for our business.
  • Custom fields do not solve our needs.

I look forward to hearing everyone's work arounds.

Alternative Solution to Customise Forms (Purchase Orders, Estimates, Invoices, Sales Receipts, etc.)

Hi, Paul.

I hear your suggestions and recognise your need for this feature. But an option to import customised sales forms to QuickBooks Online is unavailable.

As a workaround, you can look for a third-party application that can be integrated with QuickBooks and will assist you with the customised forms. You can visit this link to find one: Apps help QuickBooks run better.

You can also check out this link to our Help Page for more topics sales and customers.

Feel free to return to this thread if you have other concerns about sales forms. I'll be here to assist. Take care!

@Paul_Christo

What kind of business do you run? An export import company?

Online QB is a downgrade from desktop.

After 30 years using desktop and really appreciating it may as well start afresh and go to SAGE.

I cannot customise properly Purchase orders or emails .

The online is for me very poor in comparison with Desktop in the ease of use and clarity.

Any one with ideas will be welcomed

Hi, we've just reluctantly moved from desktop to online and I need to be able to add a logo to our purchase orders. Please help!

We found that if you add a company logo to your QuickBooks Online Account and create a default 'Customised Form' that includes a logo, the Purchase Orders will include the logo. Although you won't be able to customise its location and size.

Thought I would give an update on what we have done to get round the lack of customisability of the forms.

We have developed a custom tool that generates the PDF format for us.

So we save the forms from QB as a PDF then pass it through a custom program that extracts the contents and adds them to our own word or PDF template. This is obviously not an ideal workflow but certainly worth it to give us professional looking forms.
