How can I post a mobile expense to a project as well as category.

Hello Batty,

 

Before we can make an expense transaction billable to a project, we'll need to turn on the billable option. We won't be able to turn on the feature through the mobile app. I'd recommend accessing your QBO company using a web-browser.

Note: The billable feature is only available in QuickBooks Online Plus and Advanced versions. If you're subscribed to a different one, you might want to upgrade your subscription.

 

Here's how to turn on the billable expense feature:

  1. Open a computer browser and access your QBO account. You can also use your mobile's web browser (Desktop mode).
  2. Click the Gear icon in the upper-right corner and select Account and Settings.
  3. Select the Expenses tab and go to the Bills and expenses section.
  4. Mark (✔) the Make expenses and items billable box.
  5. Click Save and Done.

After turning on the feature, we can log in back to your mobile app to create the billable expense. When creating the expense, make sure to switch on the Billable option.

Note: The Billable option is only available in iOS mobile device.

I'll send a feature request to add the Billable option for Android mobile devices. Our Product Development Team will review this feedback and will put it into consideration for product updates.

Thanks for trying to answer.

 

Our projects are internal and not billable however if it helps to use the billable toggle I am willing to try and make it work.  I made the project billable and yes now in the iOS app I have shows the billable toggle. This doesn't help me though I need to add the project number that it will be billed to. If I don't add it here I have to add in QBOnline. The problem there is that each of the users will go to the same Expense Transactions view and see hundreds and more rows and will not be able to identifiy thier own transactions or know from that view which have had the project selected. 

Are there other views by user?

I appreciate the clarification that you gave, @Batty.

 

At this time, being able to customize the user's view for the expense transactions in QuickBooks Online Mobile app isn't available. However, you can access your account using a web browser to add the project number on invoices and customize a sales report by customer.

 

In doing so, you can enter the job number on the description box in the invoice so you'll be able to identify it easily. Please see the screenshot attached for reference: 

After that, run the Transaction List By Customer report and customize it by customers. This way, you'll be able to provide this to them so they can identify their transactions.

 

Here's how:

  1. Click on Report on the left pane.
  2. Look for Transaction List By Customer on the search box.
  3. Enter the date range of the transactions.
  4. Hit on Customize.
  5. Refer to the Filter drop-down.
  6. Put a check mark for Customer and select a specific customer.
  7. Tick on Run Report.

Repeat the same process for each customer.
