Can I import invoices which are pdf? 

Or do they need to be csv files?

You need a third party app to extract data from invoices and convert them into bookkeeping entries to your QBO. The app will save the PDF file for integration with QBO. You have some options that suits you to add your documents to the system.
1. Traditional upload with drag and drop
Add any digital file with a standard upload document feature. Use the drag and drop option instead of selecting your files.

2. Scanning
Scan any document directly into the system in digital format.

3. Email
Using a customized email address, send the file via email to automatically be captured in the system. Attachments to emails are automatically pulled into the system therefore no downloading and uploading is required. In addition, the system can extract a document from an unprotected link within an email. For ease of reference, notes in the body of the email are automatically added to the workspace.

4. Mobile app
Take a photo of your document using the mobile app.

Allow me to fill you in on everything you need about importing invoices in QuickBooks Online (QBO).

 

Currently, QuickBooks only allows you to import invoices via CSV files. Since you're using the PDF file, you can consider looking for a third-party app that can convert your PDF file into a CSV. Once you're ready to use an app, please follow the steps below:

 

  1. Sign in to your QBO account.
  2. Click App from the left menu.
  3. Search for a keyword that can convert a file.

 

After you've successfully converted your file, you can now proceed with importing your invoices. Here's how:

 

  1. Click the Gear icon, then select Import data.
  2. Select Invoices.
  3. Click Browser and find the CSV file you're importing.
  4. Make sure your spreadsheet’s column headings match with QuickBooks fields.
  5. Review the summary of your import, then click Start import.

You may also want to run a report to review all your invoices in QuickBooks Online. You can run the Invoice List report.
