Incorrect payroll for new joiners

Hi,

I have intuit quickbooks for a medium size business with 20 PAYE employees. It appears QB underpaid some of our new employees by c.1-2 days of salary due to the way QB calculates the first month of pay.

e.g. Employee 1 is on a per annum salary and joined the company on 12th July 2021. For the month of July the employee worked a total of 15 working days (Mon - Fri) at 37.5 hours per week. Therefore total hours worked should be 112.5 hours. For some reason QB has calculated the number of hours worked as 104.83 instead. I've done reverse engineering to arrive back at the payroll sum and realized QB is applying a ratio of (20 days (including weekends)/31 days (total no of days in July). This is bizarre and incorrect as employees do not work weekends.

The start date input and the number of hours per week is also correct. The per hour salary is also calculated correctly on individual pay slips. How can I fix this error so new joiners are paid correctly without having to manually fix this each time?

Incorrect payroll for new joiners

I can help you with resolving the error you have to correct the per hour salary of your employees, @1336978935.

I suggest checking your employee's profile to verify if you have set it up correctly. You can go to your Employees or Payroll menu and proceed to the Employment details of the employee. See this article for detailed guidance: Edit employees in QuickBooks Online Standard Payroll

If it was set up correctly and still encountering this error, then I suggest reaching out to our Customer Support team. They can get into your account in a secure environment, isolate the issue you’re having with your payroll and help you resolve it.

You can reach them by going to the Help icon at the top right of the account. Follow the steps below:

  1. Go to the Help (?) icon to connect to a live support agent.
  2. Click on the Contact Us button and provide some details about this concern.
  3. Provide us with some information about your concern in the What can we help you with? box and click on Continue.
  4. You'll now be provided options on how to connect to our Customer Support.

You can check this article for more information about the different types of support we offer and their availability: QuickBooks Online Support.

After setting up your employee's profile and running your payroll, refer to the following article on how to send an FPS to HMRC that shows all employee payments and deductions: Submit FPS to HMRC in QuickBooks Online Standard Payroll

I'm always here if you still have questions with your employee's set up and or anything else, by leaving a reply below. Take care and have a great rest of the day!

Incorrect payroll for new joiners

Hi,

The employee profile has been set up correctly and the per hour salary is also correct. The issue is with the number of hours worked and how QB calculates it for new joiners. I have spoken to customer support but they have been unable to assist me with this query.

Incorrect payroll for new joiners

Hi 1336978935, thanks for getting back to us on this thread

Can we check if you're using the Standard or the Advanced payroll and if you've selected the working days within the employee settings to only be weekdays Monday - Friday?
