I have just registered as an employer and want to set up payments for my first employee.
The employee started work on the last working day of May (31st) and I want to pay them on the last working day of June (29th).
The next pay date after that will be last working day of July (31).
In Quickbooks Payroll Schedule, what date do I put into the following fields:
'first Pay Date field' and ' for a pay period ending' ?
Is there any way to set up the payroll so it automatically selects a pay date of last working day of each month?
If I set up payroll to the last working day of the month, would HMRC classify this as a month for NI/Tax contributions? Even if some months are 28, 30, 31 days?
Or are NI/Tax contributions calculated between 6th of the first month to the 5th of the following month?
Any advice much appreciated.
Hi feebs,
Thanks for contacting Community.
Can I please check if you have already set up your payroll in QuickBooks Online? As if this is the case then the new employee would have to go with the same pay frequency/calendar which is in place. If you setting up your Payroll for the first time you will be able to have the pay frequency set as you have mentioned.
With regards to the HMRC classifying the month I would advise to speak with them directly for that confirmation.
Please let us know if we need anything else.
Hi,
I am setting this up for the first time.
I just need to know what date do I put into the following fields:
'first Pay Date field' and ' for a pay period ending' ?
If the employee started work on the last working day of May (31st) and I want to pay them on the last working day of June (29th).
The next pay date after that will be last working day of July (31).
Also, Is there any way to set up a rule for the payroll?
For example:
1) set the pay date to the last working day of every month
or
2) pay date from the 6th of first month to the 5th following month?
Hi Feebs,
For the first pay date, Put the day of the 29th of June, when you put this date in, you should get the option to select the last working day of the month.
for the pay period ending, put the pay period that you're paying them for, for example, if you're paying them between the 1st to 30th of June, select June 30th as the pay period ending box.
You can set up a rule so that you can set the pay date to the last working day of the month, but you'll need to be using our Paysuite system, when you click on Employees, do you see the Employees & Payroll tabs at the top of the screen, or "powered by paysuite" anywhere?
Thanks,
Hi
I don't have access to the Paysuite system. I am paying for payroll though.
How do I access Paysuite?
So with the Paysuite, can I set up a rule so the pay period is whatever I want?
E.g. 6th to the 5th of the following month?
Thanks
Hi feebs,
Yes, on PaySuite you can select a specific day of the month to pay your employees and will also be able to pay your employees in arrears as you have mentioned.
If you have already set up QuickBooks Online Payroll and want to use PaySuite instead you will need to give us a call so a request can be made to switch your payroll systems. Please visit our Contact page and give us a call.
Please let me know if there is anything else I can help with. :)
What is the difference between Paysuite and Online Payroll?
Thanks
With Paysuite can I send employer payment summary (eps), full payment submission (fps), RTI's and P11d to HMRC ?
Also, deduct tax and NI?
Is this not available in with standard Payroll?
Hi feebs,
Yes, you can submit RTI's (FPS, EPS, NVR, EYU) to HMRC through PaySuite. You can also run payroll reports (P11, P32), which will show Tax and NI deductions that the system calculates.
All of this is also available through QuickBooks Online Payroll, but this system will combine all of the payroll information you need into one report called Employment Payment Record.
However, if you want to pay your employees on a specific day of the month and in arrears, this will have to be done via PaySuite.
Please let me know if there is anything else I can help. :)
Thanks. Who do I call in the UK to get Paysuite?
Hi feebs,
The contact number for UK care is 0808 234 5337. Please select the Payroll option and we will get you on the right track.
I have a problem with my phone at the moment and cannot select options.
Is there another way I can get put onto Paysuite as soon as possible please?
Thanks!
Hi Feebs,
If you already have QuickBooks Online Payroll and wish to change to Paysuite, then this change over has to be requested manually from our Product Support team via the phone.
You can call our support team from a UK landline or mobile and the call will be free.
Hi,
When I phone the number you gave me, there is no option to hold on and speak to an adviser.
I have a problem with my phone at the moment and cannot select options.
Is there another way I can set up Paysuite please?
Thanks
Hi Feebs,
Currently the only option to allow us to switch you over to Paysuite would be by calling our inbound Contact Centre, selecting the options for VAT/Payroll and waiting for one of our Technical Support Advisers to answer your call.
The change is a manually requested change which has to be done over the phone.
0808 234 5337 is 100% the correct number to call.
Thanks,
I am just setting up, during free trial and looking for going live at March 31st (our year end) Whilst trying to set up payroll and inputting 28th April as first pay date, it won't allow me to input 1st to 30th April as pay period? Don't know why?
Hello RDl1,
Once you have selected the pay frequency and entered the first pay date, the system should work out the first pay period end date as 30th April for you. Which box you are trying to enter the pay period?
Thanks,
Talia
Hello RDl1,
Do you have access to Facebook or Twitter? If so, could you please go to QuickBooks UK and send us a private message? We need to get a few screenshots from you, as well as your email address so we can raise this up to our engineers.
Thank you,
Talia
Hi Talia,
you should have received that overnight,
Cheers
Hello,
We have received this and raised it up. We will be in touch through email with any updates.
Thank you,
Talia
