Hi,
Can anyone help me please. The layout / screens to run the payroll seem to have changed in the last month and whereas previously when processing the payroll it gave the option to email payslips to employees this has disappeared and I can't see anywhere within the payroll section to do this now. Please can someone tell me where I can find this?
Also the notes that I had previously made under a particular employee have disappeared, how do I get these back?
I've tried a different browser and cleared the cache etc.. that a previous use suggested but this has made no difference. I've contacted webchat but that was so frustrating as it takes 4 minutes to get a reply from the adviser everytime and what I think is a simple question i.e. where is the option to email a payslip gone, they can't answer.
Thank you to anyone that may be able to provide some help
further to the above. It looks like the payroll product has changed on my monthly invoices from "QuickBooks Standard Payroll" to "QuickBooks Online Payroll Core" and this may be why it's changed and I've lost my notes. I didn't ask for this to be changed!!
Can I get the notes I made back and how do I email payslips in Payroll Core?
Hi richturnbull-pro All our customers that are using the Standard payroll systems are being migrated over to the Core system, this is why you'll have noticed some changes. It's not possible to email the payslips from the system as it's been designed in this way so that the employees can be invited to the Workforce app to view the payslips themselves, therefore reducing the work of the payroll administrator. If you still would like to email the payslips to your employees it's possible to download the payslips and email them from your business email provider. In relation to your notes, if they are available they will be in the download section of the overview page.
Hi, I have had the same issue where employee notes on the payroll page have gone missing since the system change, and they are not in the data download either. How can I get these back
It isn't the experience we want you to encounter after migration to Payroll Core, Esther. Let's ensure you'll get the best support available and keep you back to business seamlessly.
Employee notes are crucial for tracking details about each employee, such as special instructions, performance notes, or personal information relevant to payroll processing. If the notes are missing from the download data, they were likely not captured during the migration.
To fix this, I recommend contacting our QuickBooks Payroll Core support for further assistance. They have been able to help you retrieve the missing notes or provide more specific guidance on how to recover them.
If recovery is not possible, manually re-enter the notes. To prevent future issues, back up data regularly and review migration procedures to ensure all critical information is included.
In addition, you can check this article to see all your previous FPS and EPS submissions from the Payroll Tax Centre: View submitted FPS and EPS filings in QuickBooks Online.

i've now been told that notes were not transferred and are irretrievable which is really problematic
Hi Esther_H2CD We can confirm that the notes don't get transferred over to the new payroll system/not contained within the download file. I will however raise the issue to our senior support team for you. I have created a case in relation to this contact and if there are any updates or the issue is resolved you'll be notified by email from the case.
Furthermore, in the email I received telling me that the migration was happening to core payroll, it told me not to worry, everything would be copied over and there would be no change to the service ....
Missing data, very poorly designed reports, no pension data to transfer or P32 report and to top it off, today I discovered that pay elements cannot be customised now like they could in Standard payroll.
We have a taxable benefit that goes through the payroll. It's not subject to ni, however this core payroll cannot accommodate that and therefore it doesn't meet my requirements anymore. Neither can you refund a deduction.
It's a very basic payroll system we've been given.
It's incredibly poor on QuickBooks to not be transparent about the lack of functionality that this core payroll has. I'm very disappointed and I've been told that the only workaround is for me to upgrade to the enhanced payroll now. I don't feel that I should pay extra for something that they've taken away from us.
".... It's not possible to email the payslips from the system as it's been designed in this way so that the employees can be invited to the Workforce app to view the payslips themselves, therefore reducing the work of the payroll administrator. "
In Payroll Standard the Payroll Administrator simply clicked "email payslips".
In Payroll Core there is no facility to email all employees to say "This month's payslip is on Workforce".
Similarly in Workforce (UK), I have yet to find a way for workforce to send an email notification to say "New Payslip".
As for P45's... these should be published to Workforce, just like Payslips and P60's..
