RE-ACTIVATING LEAVER THAT HAS COME BACK TO WORK FOR

Hi,

 

I have an employee that has returned to work for us after leaving at the start of the year. He is still on the employee list. Can i reactivate him? when I go to his employee profile he shows as a leaver and under the actions tab I can see 'edit leaver status' however it is faded out and I am unable to click it. Do I have to add all his details again or is there a way to put him back on payroll

Thank you for joining us on the UK Community for QuickBooks Online.

 

In this scenario - you would be better placed to recreate him. As he left you, he would have been provided with a P45 and marked as left the business with HMRC. If we were to re-activate it, it could cause concerns on HMRC's side. You want him to be a "new" employee, with a new employee ID and new profile altogether.

 

Depending on the payroll system you have, you may be able to export, and re-import the data and give him a new employee ID (Don't use "Old Employee ID" box) - but from a time perspective, it would take less time to recreate him than to export, format and re-import the data.

When I re-enter new employee it wont let me use the same NI number. Even if I delete the NI number from his/her old profile?

RE-ACTIVATING LEAVER THAT HAS COME BACK TO WORK FOR

QuickBooks Online Payroll won't allow duplicate National Insurance (NI) numbers to ensure data integrity and avoid HMRC reporting errors.

You can save the employee's NI number once the existing ones are deleted and the NIN unknown (NINO) box is checked on the old profile.
