A customer has refunded my train fare after i have already posted the cost of the train fare through the banking review function. How do i post the refund?

Hi Video Artisan,

 

When the Billable Expense feature is turned on, you can make the train fare billable to your customer. Then, match the bank transaction to this expense. I'll show you the step-by-step process. 

 

If it's not turned on yet, here's how:

  1. Click on the Gear icon.
  2. Select Account and Settings.
  3. In the Expenses section, check the Make expenses and items billable box.
  4. Click on Save

Create a billable expense manually:

  1. Click on the Plus icon.
  2. Select Expense.
  3. Enter the expense information and check the BILLABLE box. 
  4. Click on Save and close

 

Link the expense to an invoice: 

  1. Click on the Plus icon.
  2. Select Invoice.
  3. Select the customer and click on Add
  4. Click on Save.
  5. Click on Receive payment (make sure the refund amount is correct to close the invoice).
  6. Click on Save and close

From the Banking page, QuickBooks automatically recognizes the expense you've entered. Click on it and select Match

 

Please note that this feature is only available in the Plus version. Other than that, you can record the refund from the Bank Deposit page. Then, choose a bank account where to post the amount and the asset account. If you've already entered the train fare as expense, you can match it to the bank transaction from the Banking page. Otherwise, click on the Add button to reflect the expense on your register.
