A client has paid me twice for the same invoice. I need to issue a credit note for the second payment. How do I do this?

Thank you for joining us in the Community space, @steeleydesign! I'm excited to help you with your first post about managing client overpayments in QuickBooks.

 

Currently, QuickBooks Self-Employed (QBSE) doesn't have a dedicated feature for creating credit notes. The program is primarily tailored for independent contractors, freelancers, and self-employed individuals who have simpler financial workflows or service-based businesses without complex invoicing structures.

 

With this, you may want to manually add a transaction to your QBSE account, reflecting the credit for your client and selecting the most appropriate category to maintain accurate and complete records.

 

Here’s how to do it using a web browser:

 

  1. Go to the Transaction menu and select Add transaction.   image (56).png
  2. Enter a brief and note explaining the reason for the credit in the space provided for the description.
  3. Input the credit AMOUNT as a negative value. This will reduce your reported income accordingly.
  4. Select a category to classify the credit. Pick the one that aligns with your financial organization approach.image (57).png
  5. Once all the details are filled out, click Save. 

 

You can also record the overpayment outside of the system and deduct the amount from the client’s next invoice, noting the adjusted value in the invoice details. For example, if the client overpaid by $50 and the next service costs $150, the invoice can reflect a $50 credit, billing them only $100.

If your process involves regular credits and adjustments, you might want to consider utilizing QuickBooks Online (QBO). This product allows you to apply credits within your invoices, saving time and minimizing errors.
