Moving from Desktop to online - file size too big, how to compress or reduce

As the title suggests, I am transferring from QuickBooks Desktop Pro 2020 to QuickBooks Online and am getting the error "

Company file is too large to export, Export only your lists - your chart of accounts, vendors, customers and more"

When I complete the transfer it doesn't show any account history at all, I've searched and searched and can't seem to find a way to reduce the file size.

Hi @jholzherr,

 

You can condense your QuickBooks data and export it again to QuickBooks Online. Let me walk you through how.

  1. Create a back up copy of your file first. Go to File, Back Up Company, then Create Local Backup.
  2. Make sure to log in as the QuickBooks admin. Then, go back to File, then Utilities, and then Condense Data.
  3. Select Yes when prompted. Select a Date, then Next and choose a method to summarize transactions.
  4. Hit Next, then Begin Condense.

You can condense your QuickBooks data and export it again to QuickBooks Online. Let me walk you through how.

You have to condense it as mentioned by ShiellaGraceA prior to migrate to QBO. Make sure to click the Buy button to get the discounted price for up to 6 months. If you purchase from the trial account, you will pay the regular price.

If you are sill unable to migrate it. consider purchasing a 3rd party condense service to compress your data file smaller.

There is no condense function in the UK version of Desktop

You may have 2 options:

1. Utilize a migration tool. i.e TPExporter for Desktop, TPImporter for Online

2. Purchase a 3rd party conversion service.

There are 3 party service providers who can do a condense service on UK file for export to QBO. Let me know if you need a recommendation.
