Let's ensure you can create a transaction using the inventory item you set up without encountering any prompts, Carol.

If you create a transaction dated earlier than the starting date of an inventory item and post it to the newly created income account, it will not be processed due to the starting date restriction you've set for that item.

To resolve this, ensure the transaction date you select is after the date you configured in the As of date field for the inventory item. This allows QuickBooks to process the transaction correctly.

Here's how:

  1. Click the Gear icon in the top right corner.
  2. Select Products and Services.
  3. Locate the inventory item you wish to edit.
  4. Click the Edit button next to the item.
  5. In the Quantity on hand section, choose the Starting value.
  6. Click the Got it button to proceed.
  7. Update the date under As of date.
  8. Click Save and close to save your changes.

For example, if the inventory date is 03/10/2025, ensure you choose a transaction date that occurs after this date.

On the other hand, if you continue receiving a message stating that you cannot adjust the item's starting date because it lacks an associated starting value transaction, I recommend creating a new inventory item instead. Here's what to do:

  1. Click the Gear icon at the top.
  2. Select Products and Services.
  3. Tap New.
  4. Choose Inventory as the type.
  5. Enter the required information.
  6. In the 'As of date' field, input the date when you begin tracking the inventory item’s quantity.
  7. Click Save and Close.

Additionally, you can access reports to quickly view your best sellers, current inventory levels, cost of goods, and more. For guidance on how to utilize reports to monitor stock status and performance, check out this article. Track your stock in QuickBooks Online.
