Anyone having issues with the format of the estimates and invoices being sent? Sending the attachment in the body and looking out of format.

I’ve just sent myself one of my estimates and it’s adding the pdf text in the body of the email also and it looks incredibly unprofessional. Any suggestions.

Hello Community Users, we just wanted to pop in and add some clarification onto this thread. In regard to estimates and the text that shows in the email body when sent to a customer, this is down to the custom form style chosen but also the settings for online delivery.

If you go to the cog in the top right of QuickBooks and then select account and settings>sales>online delivery> select the option for show short summary in the email , make sure pdf attached is ticked. That should impact when the estimate sent the body of text that appears, it will not include the full estimate details, only a summary.You could do a test estimate to check that works for you.

You can also download the estimate and send from your own email as an alternative.

It's good to see you here, @usersimon1. I'm here to provide insights about the format of an estimate and invoices being sent. 

 

In QuickBooks, the system is using Plain text. Setting the HTML on the Account and Settings won't take effect in this section because this is a system-generated preview.

 

The option in QBO to change or remove this section when emailing the estimates is currently unavailable. In the meantime, you can further personalize your estimate and invoice forms to ensure they will look professional once you're ready to send them to your customers.

Once your customer accepts the estimate, you can convert it into an invoice. Once done, the system will auto-reflect its status as Closed in QuickBooks Online (QBO).

I have also recently noticed this.

Your reply @Rubielyn_J is helpful in so much as it makes it clear there is nothing to be done about it, is also not very helpful in that it doesn't actually offer a solution.

Any chance of plan to resolve the issue?

Hello there, mild_admin.

 

As of now, we're unable to tell when an option to remove the attachment in the body of the sales form will be available. That said, I'd suggest sending Feedback to our developers.

 

Here's how:

 

  1. Click the Gear icon.
  2. Under PROFILE, select Feedback.
  3. Enter a description of your product suggestion.
  4. Click Next.

 

Once you're ready to create an invoice out of the estimate, you can check this reference: Convert an estimate into an invoice.

 

Keep me posted whenever you need help creating an invoice.
