I have 3 Classes set up and want to make one of them the Default so that all transactions default to this but can be changed accordingly. This default will be the majority of transactions.

Hello denisebecks

Thanks for joining the Community.

It's not possible to set a default class - instead, you'd select this from the class field drop-down when entering a transaction. You can assign a default class to products and services, so that when you select this P/S on the transaction the class field auto-fills. To do this, click the Cog > Products & services > Edit > Assign a class.

You can create sub-classes of your main class by following the steps below - if you've already created your classes, you can edit these to make changes to the sub class settings (select the drop-down beside the class > edit).

1. Go to Settings ⚙ and select All Lists.
2. Select Classes.
3. Select New. Give this class a name.
4. To add a sub-class, select Is a sub-class and select the main class. You can nest up to five classes.
5. Select Save.

This is a MAJOR flaw, it crates a TON of unnecessary & redundant work for no reason. QBO PLEASE… please allow a DEFAULT Class unless changed or “memorized” previously!

Hello there, @3JTEXAS. I can provide insights about having the option to default class in QuickBooks Online (QBO).

I can see the urgency of having this feature in QBO, yet it's still unavailable. I want to ensure your feedback and opinions will be heard and implemented. I recommend sending feedback to our product developers about this option. That way, our QuickBooks Developer team can study further about this feature and may add it to future product updates.

Here's how:

  1. Go to the Gear icon.
  2. Choose Feedback.
  3. Type in your product suggestions, then click Next to submit feedback.

You may visit our QuickBooks Online Feature Requests website to track the status of your submitted feedback. You can also visit our blog to keep up with recent events and developments.

If you want to pull up a balance sheet report by class in the future, check out this article for reference: Run a balance sheet by class or location in QuickBooks Online.

Tag me in the comment section if you have additional queries about managing classes in QuickBooks. I'm always here to help.

Do you know If there has been any progress made in this regard? I cannot believe I’m the only one who would save hours and hours a day you could default the system to allow for a preset class in absence of a specified class for that particular vendor.

We know that each company has unique needs, and I can see how having the option to default class would benefit and empower your business, 3JTEXAS.

Our Product Development team welcomes all your suggestions and requests. Although we don't have a specific timeframe for when this will be available, rest assured that they are diligently working to improve your experience in QuickBooks.

Thus, I recommend sending feedback to help emphasize its significance and to demonstrate the collective urgency of this matter. You can follow the steps provided by my colleague @GebelAlainaM on how to submit feedback.

If you want to learn how to add, delete, or restore a class in QuickBooks Online, freely read this article: Create and manage classes in QuickBooks Online.

Thanks for your patience. Feel free to check back here for updates on the availability of the option. If you have more questions about QuickBooks features, just let us know.

Quickbooks absolutely needs to implement better use of the class designation.  If they would allow you to have a default class, especially by account, credit card, etc. this would save tons of time.  Also, if we could batch add\change class in the transactions page, this would save tons of time.  This seems like it would be an easy addition that would make classes much more useful and powerful rather than manual entry in every single transaction.

I have been asking for this for years. What a time suck without such modification. If only they listened.

Currently, we are limited to assigning default class categories to payroll transactions, products, and service items, Donnie. This functionality is available when Class tracking is set to apply to One to each row in transaction.

While setting the default class categories to accounts is not yet possible, we already have the Reclassify or move multiple transactions option available in QuickBooks Online Advanced and Accountant versions. You can check this article to get an overview of what this feature can do: Reclassify or move multiple transactions in QuickBooks Online Accountant and Advanced.

If this is necessary to your business setup, you can upgrade your subscription. More features are added which are only exclusive to that edition. Here's a comparison chart for the offered subscription plans: https://quickbooks.intuit.com/uk/pricing/.

As we move forward to this discussion, I'd recommend sending your feedback. Our engineers will be able to review and discuss it with people managing the field for product improvements. You can follow the steps on the earlier responses on how to send your feedback.

Feel free to get back to us if you need additional assistance in managing your transactions efficiently.

James, when you say “not yet available”, does this imply it is finally in “in hte works”?

At present, the “default” class for an item is BLANK if not specifically allocated previously. In my case, MOST unclassified items (at least a good majority) are ultimately manusally classified as “non-admin” expenses. The fact that QB does not allow to have ALL transactions default to this “non admin” class causes incredible amounts of extra work that could simply be remedied. ALL our transactions ultimately get classified to somthing. If not classified in advance, as many already are, this option to default to “non admin” would be invaluable. Please advise.

We hear your feedback, 3JTEXAS. Those features requested from you and other QuickBooks users that aren't yet available in QuickBooks will be reviewed by our engineering team. We also don't have a specific time frame when it will be implemented.

If you haven't yet, I encourage you to submit your feedback through the QuickBooks feedback portal. You can follow the steps provided by the previous agent in this thread to assist your submission.

Moreover, this article will be helpful once you've correctly classified all your transactions into their categories:  Reconcile an account in QuickBooks Online.

If you have more questions about the default class feature, you can come back here to check for updates on its availability.
