Delivery notes - NO PLACE FOR A SIGNATURE OR CUSTOMER PURCHASE ORDER NUMBER

Is it just me or are other users of the desktop version, that have been "forced" to migrate to the online version, finding that it is like going from a fully spec'd  BMW 7 Series to a base Ford Fiesta in lots of aspects, there seems to be so much missing from the online version that the desktop version did brilliantly. 

Case in point,

The Delivery note that the  QB online has, is not customizable and doesn't even have the basic requirements of a signature panel for the person receiving goods to Sign, Print Name & Date. It also doesn't even bring the customer purchase order number over from the invoice (which by the way you have add to the invoice as 1 of your 3 miserly custom fields to your invoice). But hey we get the permanent addition of a tracking number box...... fandabidosi!

However my business actually delivers to major construction sites across the south east. Part of our contract with each customer is that we MUST provide signed POD's with all Invoices submitted (not even worked out how we are going to do that yet either) and all paperwork (Invoice, delivery note, order confirmation) must clearly show the site delivery address, customer purchase order number, and delivery notes must be signed by one of their employees (some customers even give us a list of authorised people that must sign the delivery note).

 

In one foul swoop QB has just rendered our ability to comply with our customer requests impossible, its ridiculous!

 

Anybody got any bright ideas on how to sort a delivery note out with these requirements that doesn't involve loads of extra work. In desktop, it was simple, I designed templates that covered all the needs, from one invoice I could produce the following forms with just a few mouse clicks and about 30 seconds of time.......

Delivery Note, with Signature panel, Customer PO Number and site personnel name & contact details.

Customer Collection Note, with Signature panel, Customer PO Number.

Covid Delivery Note, No Signature panel, but with contact free panel for our drivers to write the persons details down who is receiving the delivery. also still has Customer PO Number and site personnel name & contact details, Copy was placed on the goods before dispatch for their records.

Picking Note - For our warehouse to pick the goods and record batch numbers of products being dispatched for our ISO9001 QA system.

Order Confirmation - Sent back to customer to confirm acceptance of order, delivery date, Purchase order number, rates, etc. NO VAT elements on this.

Pro-Forma Invoice -  For those that don't have a credit account

 

See attachment of what desktop forms we have designed and use on a daily basis.

 

No doubt I will come across more woefully lacking online features that need resolving / sorting a work around.

Brexit, Covid, Cost of living crisis and now QB online migration.......oh what fun to be in business for yourself!

We want to give you a better experience with missing functionality after switching to QBO.

 

QuickBooks Desktop and Online are two different platforms. There are limitations to some features of QBO.

 

In the meantime, consider looking for a third-party application that lets you do the tasks. Check out the Apps section of your QuickBooks Online account for suggestions on what would work best for your business.  

 

 

As another option, you can utilize and add custom fields to your sales forms and purchase orders in QBO.

I understand they are separate platforms, but limitations are only driven by the software developers and what they are told they can do! But us QBDT users have no choice, it's QBO or try something else all together, which frankly isn't an option after 25yers of QBD... great way to treat your customer of 25 years. The level of customization in QBO is woeful compared to QBD... and I suspect you don't even know what the capabilities of QBD are.as you probably aren't trained on it.

 

So what you are really saying is sorry but we can't sort a solution, because we aren't prepared to understand what is such a basic requirement for 1000's of business', and that was seamlessly inbuilt into Desktop. I shouldn't have to pay another company for using an app each month, and having looked at the fees for some of them it is ridiculous 

 

What I would really like is there ear of one of the decision makers / senior developers in Intuit for an hour or two, so they can actually understand the Stress and Anxiety that this is causing to 1000's of business owners who are faced with online after using desktop... We have a business' to run, and shouldn't have to deal with sorting out this mess that we are forced into, I have spent countless hours trying to sort things out after migration on the phone to your support, most of which isn't able to be sorted and that is just the way it is..... like it or lump it.

 

I certainly won't be recommending Quickbooks to anybody at the moment.

In the same boat - should not be forced in this day and age with the rise of hackers too that can infiltrate servers.

 

No work around at all for our linen hire business either.

 

Absolute crap - QB online

 

Also forced to use an extortionate app.

 

As usual they should learn the term if it is not broke don't try and fix it.

I shouldn't have to download another app to just get signatures. I've been using the app for years now and have been able to get signatures on invoices just fine. Now with this new update there's no signature line on invoices. Why take a valuable feature away. A signature from an authorized person means I get paid. If I don't have a signature whose to say I actually got approval for the work to be done. I switched back to the old version but am being told I'll be forced to go back to the new one eventually. If there's no signature option added back onto the invoice page in the app then I will be looking for an alternative company to switch to. This is ridiculous to remove something so necessary

Total empathy for you!

Having used desktop for 25years+ migration online absolute nightmare and QBO not up to the job for us as a manufacturing company 

Compulsory migration with MMB lost 5000+ part numbers for us and 25 years of records despite hours on the phone with QBO trying to import QBDT data

QBO is too basic & not user friendly for any serious business owner so looks like 

goodbye QBO, hello SAGE

Like you're user name, you obviously have the same feelings I have.

I have ditched QBO as totally in appropriate, we have 2500 products listed. Looked at Xero online no better perhaps worse!

Have gone with Sage 50  Accounts Professional, but I have to say it's VERY clunky if you have been a long term QBDT user. I am 1 month in, and it has been a steep uphill learning curve. The bonus is that at least all support is UK based, and have been pretty helpful..... having rung them every day for a month nearly!  All I can say is that QBDT was a superb piece of kit and very easy to use from a business management and reposting point view, instant reports that are easily drilled down. Sage seems to be much more accounting driven, It doesn't handle stock in the same way as QBDT did, and everything is more double entry at the forefront, where as QBDT did it all behind the scenes You don't have Item purchase descriptions and selling descriptions, and it doesn't retain the "cost price" even if you get a special from time to time.

Yesterday we discovered that our reported stock levels are totally incorrect on sage, as I have been entering the opening balances piecemeal during the month, 2 hrs on the phone to sage yesterday and the resolution isn't good,..... do a stock check, rebuild the stock data file, and then enter the stocks from the stock check, apparently it will be right going forward, but nothing can be done about the previous 2 months of data..... or start again, with a new company file and re enter all our starting balances again, and re enter 2 months od sales and purchase data....... This will be the option I choose. My mistake was turning on "allow negative stock" values, and then entering sales before I had populated all the opening balances and AVG CofG..

Search out Direct Chemicals, Berkshire and message/call me Robin. I might be able to help access your old data easier for a while, as the Online tool to view your data that QB gives you is not great as it doesn't have the stock files it it!

Apart from the issues pointed out by the OP, when I try to print a delivery note it comes out as an Invoice with the goods value showing. How to I get a delivery note without prices and is actually called DELIVERY NOTE?

I heard your opinion, @Wonder. It is also a helpful feature that delivers notes that can include corresponding prices of goods enclosed for shipment in QuickBooks Online. Let me route you to our product developer and discuss this with them.

 

Since QuickBooks Online prints delivery notes that include items, quantity, and shipping information, except the amount, thus, providing us with feedback will help enhance and enable you to have a more pleasing experience within the Delivery Note Receipts. This way, they'll see your suggestion and consider adding it to the next program update.

 

Follow the steps below:

 

  1. Go to the Gear icon.
  2. Under the Profile column, press the Feedback button.
  3. Write your product suggestion, then click Next.

QB Desktop user of 30 years + migrated to QB online advance and it's a complete joke. We are manufacture and it just can't handle what we need. No field for Customers PO on an invoice that is fundamental STRESS doesn't cover it.
