down load attachments

In QBO we use the file attachment facility for all Bills and Expenses - excellent.

We want to be able to review the invoices of say our Courier Invoices (we put these on as a single line as they are made up for 4/5 pages of individual transactions)

How do I download all the attachments for the Courier Supplier in one go....

I’m here to share some information about downloading attachments, @ShopAdmin.

 

The ability to search and filter on the Attachments page is currently unavailable. I can see how this feature could help your navigation easier.

 

You may consider selecting the Amazon supplier attachments for a specific period manually then export them at once in QuickBooks Online. You can refer to my colleague @Ryan_M instructions to download.

Hello ShopAdmin, 

 

Welcome to the Community page, 

 

You can download and add them as attachment section in Quickbooks so if you go to the main cog wheel> under lists click on attachments and you can add them in there.

I want to download "en-mass" all the attachments in one go for a supplier for a set period

Hi @ShopAdmin,

 

Thank you for the prompt reply. 

 

Here are the steps you need to take for you to download several attachments at a time in QuickBooks Online (QBO):

  1. Go to the Gear icon.
  2. Select All lists.
  3. Click Attachments.
  4. Place a check on the box of all attachments you want to download.
  5. Tap the Batch actions drop-down menu.
  6. Choose Export.

This action will download a ZIP file that contains the attachments you selected. If you chose to export all the attachments, they'll be divided into four different folders. These are Unattached documentsBill Payment (Cheque)Expense, and Invoice. Furthermore, these four folders will have sub-folders that classify where you attached them. 

 

In case you need to download anything else from your QBO company, see this article for a complete list of what you can export: Export reports, lists, and other data from QuickBooks Online. It includes the steps on how you can download the reports and lists.

Thank you for your detailed response, but that is still not what I am asking.

 

Let's say my supplier is Amazon, and I have 50 invoices  each month posted against the supplier.  I want so

1) search for Amazon supplier attachments

2) filter on a set date, say July 

3) export all their attachments for that selection

 

What you have suggested means I have to trawl through page after page of all the bills and expenses and other attachments  looking for what I need.

 

This is all basic end user requirements in a system like this.  Nothing scary or clever.

But this is painful to do as you cannot filter or sort by supplier so you have to look at each one on each page.....

 

putting in a filter / sort would be so easy

The fact that there is no ability to filter these receipts makes the feature as it is currently implemented ridiculous. Please add filtering, and ensure that you can filter on:

a) one or multiple vendors

b) one or multiple accounts

c) one or multiple classes

We currently have several cost-reimbursement grants. We assign a class per grant, so we can easily print a report of the expenses associated with that grant over a period (typically 100+ per report). When it comes time to submitting for reimbursement, they need a copy of the invoice or receipt associated with each expense on that report.

Ideally, QBO should offer this as a report, but in the interim, adding filtering to the export of attachments would be a small start.

Filtering receipts is a great functionality, @info1236.

 

As of now, this option is unavailable in QuickBooks Online. I'd recommend sending a feature request directly to our Product Development team. This helps us improve your experience and the features of the program. 

 

Here's how:
 

  1. Go to the Gear menu and then select Feedback.
  2. Type in your feature request in the description box.
  3. Once done, click on Next.

 

In addition, here are a few things you want to know about adding or deleting attachments in QuickBooks Online. This includes the supported attachment file types you may add to your transactions.
