I have a couple of hundred transactions imported from PayPal that need to match with sales receipts. QB is matching multiple records, just not the correct one! Ideas?

The end result is I have to go through every transaction and search for the correct Payee name to match to the transaction.

To properly match these transactions to your sales receipts, you can create a bank rule in your Quickbooks. Here's how to set this up in your Quickbooks. 

 

  1. Go to Banking and select the Rule tab. 
  2. Choose New rule and enter the rule name in the neme field. 
  3. Select Money in or Money out on the For drop down option. 
  4. Choose the bank or credit card account on the In drop down option. 
  5. Set the rule conditions and to reduce the need for multiple rules, you can create rules with Or so that transactions are edited when they meet any of the outlined conditions. To use the Or function, you must specify When a transaction meets any of these conditions then select Add line.
  6. Specify whether the rule applies to Bank text, Description, or Amount, then identify the content the transaction Contains, Doesn't contain, or Is exactly for the rule to apply on the settings of the rule.
  7. Select Save.
