Invoices paid by a third party - how to record as paid once entered into QB's.

I have a client who has a regular amount of bills that are paid by her husband but are for the business. I can obviously enter the bills but how do I pay them off as the husband's bank account is not linked to QB's. All perfectly legitimate as accountant is happy with the situation?

I understand you need clarification about how you can record your client's business bills by a third party in QuickBooks, @Kate Bent.

Rest assured, I'm here to assist you in finding a solution.

While your client's bank account may not have a direct link to QuickBooks, we can explore a few options to ensure we pay off these bills within the system. If reimbursing a personal expense, you can record it as a cheque or an expense.

First, let's record the business expense you paid for with personal funds:

  1. Choose+ New and select Journal Entry.
  2. On the first line, click the expense account for the purchase.
  3. Enter the purchase amount in the Debits column.
  4. On the second line, choose Partner's equity or Owner's equity.
  5. Enter the same purchase amount in the Credits column.
  6. Click Save and close.

To facilitate the reimbursement process, we can record it either as an expense or a cheque. For a step-by-step guide, please refer to Step 2, outlined in this article: Pay for business expenses with personal funds.

By implementing these solutions, you can effectively manage and track the bills paid by the husband while maintaining the integrity of your client's financial records.

In case you need to learn how to record a personal expense in a business account, you can review this link for future use: Pay for personal expenses from a business credit card or bank account.
