New to QB. An invoice was already marked as paid. But in the bank transaction for review, in find a match, the specific invoice doesn't show up to match the payment.

In sales, customer, I can see the invoice and it's marked as paid. But how do I categorised it? Thanks in advance.

Hi there, feprimafi. Let me guide you on how to match an invoice payment in QuickBooks.

 

If an invoice has already been marked as paid, it means that there is an existing payment. In this case, you need to match the downloaded payment or bank deposit, instead of the invoice. 

 

However, if you find transactions without any matches, it could be due to various reasons such as the dates not matching, bank account on the payment not being the same as the bank where the match is located, the amounts not matching, payment already being reconciled, multicurrency issues with exchange rates, or the transaction being older than 6 months. In such cases, you can use the Find Match option to locate the transaction. 

 

Match in QuickBooks means linking the downloaded transaction with the one you've already entered, to avoid duplicates. Here's what you need to do: 

 

  1. Find a downloaded transaction with the Match option in the Action column.
  2. Note the DateDescriptionPayee, and amount spent or received.
  3. Select the downloaded transaction to expand the view.
  4. Review the Matching records found in QuickBooks. This is the possible matching transaction you've already entered in QuickBooks.
  5. Select the link next to each match to get more details.
  6. Make sure this is the correct match. In particular, review the Deposit toPayment method, or Bank account fields on forms for the existing transaction in QuickBooks. The fields you see may differ depending upon the transaction you're matching.
  7. If this is the correct match, close the open transaction and hit Match.

 

After your match or add downloaded transactions, it's always a good idea to check that everything is in order and recorded accurately in QuickBooks.

Thanks for your help, Jelayca. Does it mean that if I Add a downloaded bank transaction to sales, for example and for the customer who paid it, instead of matching it, I create a duplicate? Considering the invoice was marked as paid.

I got your point, @feprimafi. I'll hop in this thread to share some pointers concerning the matching feature under the Banking section in QuickBooks Online.

 

You may utilise the Add function within the Banking section in QuickBooks when you haven't yet created any transactions within the platform. That said, you can add them directly as your reconciling items, it won't cause duplicate.

 

On the other hand, when the invoice was created and marked as paid, the corresponding bank transaction should ideally be matched to it within QuickBooks Online. It ensures the payment is reconciled with the invoice, preventing duplicates and maintaining accurate records. 

 

Furthermore, you'll want to make sure that your bank transactions are coming into the accurate accounts, you can use this Bank Rule feature as it categorises transactions automatically.
