Duplicated payroll costs

My payroll costs are automatically put onto my accounts from the payroll journal, but as my bank is linked the bacs payments are causing me an issue. If I exclude them my bank balance on the balance sheet is wrong because it’s not matching what’s in the bank compared to what I have entered on QB. And if I add the BACS payments it has duplicated payroll costs in P&L. Please help

Hello there, @Kirstyc. It's important to note that if the mapped journal is posted to the bank and is not linked with a business bank account, then you won't be able to match it. Let me provide further explanation.


In your scenario, you have the option to change the mapped bank account to update all future journals. Here's how you can do that:
 

  1. In the Gear icon, go to Account and Settings.
  2. Select Payroll.
  3. After that, hit Journal mapping.

For the existing ones, I recommend manually editing them to change to the correct bank account. Alternatively, you can create individual transfers in the +New and then proceed to click on Transfer from the bank to the business bank account for the payments, after which you'll be able to match them.

Thank you for your reply. The journal isn’t attached to any bank accounts as when I go on balance sheet and click in my amount on the bank account that payroll journal isn’t in there

As instructed by my colleague, which is @KayePe, you have to ensure that your journal mapping is set up correctly. You can review the default payment account to make sure transactions are posted accurately.

 

To double-check your account setup, you can follow these steps:

 

  1. Go to the Payroll section.
  2. Select Payment Settings.
  3. Then click on Chart of Accounts.
  4. Select the Payment account.
  5. Then make sure you select the correct payment account.
  6. Then Save.

 

Additionally, you can also edit the payroll transaction journal to correct the posting account.

 

For further guidance, you can contact our QuickBooks Online Support. Here's how:

 

  1. Sign in to your QuickBooks Online company.
  2. Click on Help (?).
  3. In QB Assistant, type in the topic or question you need help with.
  4. Select Contact Us to connect with a live support agent in the Search tab.
  5. Select the preferred method of contact (phone or chat).

Hello Kirsty, thanks for your reply. If the chart of account categories, you need are not there you can manually create them by going to the settings icon in the top right>chart of accounts>new. Then you can set new ones and name then as needed, just select the appropriate account type and detail type, name and save.

I have rung and online chat and no one knew what I was on about. There are too many options on chart of accounts I just need to make sure when the payroll journal is posted it matches my bank account so my bank account isn’t way off the balance

I have been through this and it lets me change where it goes to IE it lets me change what category the wages go into but they are all payroll none of my bank accounts are on there. I need to map it so the payroll journal maps to my bank account
