QB's Desktop

Hello,

We have 9 different companies with QB's and I was wondering if there is a way for me to copy vendors or customers from company to another so that I do not have to retype everything over and over when I need to set up the same vendor in several of our company's? Can someone help me with this?

If you are not familiar with IIF, You can use a migration tool (i.e importer and exporter). It's a $299 one time license and you can get $100 to purchase it via a partner.

Yes, there's a way to copy your vendors or customers from one company to another, @DPHQ1140. Let me guide you through the steps of transferring them.

Aside from 4Gal's suggestion, you can also copy your vendors and customers within QuickBooks Desktop (QBDT) by exporting and importing.

To begin, open the company you want the vendor and customer to copy from and follow the steps below:

  1. Go to File and choose Utilities.
  2. Select Export and choose Lists of IIF files.
  3. An Export page will show.
  4. Tick the box for Vendor List and Customer List.
  5. Click OK.
  6. Choose a File name and a location where you want to save it.
  7. Click Save.
  8. A confirmation pop-up will show. Click OK.

Then, import the files to the other company. Follow the steps below.

  1. Open the other company you want to copy the vendors and customers to.
  2. Go to File and choose Utilities.
  3. Select Import and choose IIF files.
  4. An Import IIF file pop-up will show. Click Import IIF.
  5. Choose the IIF file and click Open.
  6. Wait for the import to finish.
  7. Click Close.

It doesn't copy the address or any other information, just the vendor name.  Is there a way to copy all the vendor information from one quickbooks to a 2nd quickbooks?

Thank you for your prompt response on this thread, @ruth52. Let me share more information about exporting your vendor list.

Having all the information of your vendors in one file is great, as you don't have to input it manually. I suggest we export the list on the vendor's center directly into a CSV file and import them to the second company.

However, this will take time to import as we'll have to copy and paste the information to the other QuickBooks Desktop.

Here's how to export:

  1. Go to the Vendors and then click the Vendors Center.
  2. On the Excel dropdown, select the Export Vendors List.
  3. Hit Export.

To import the file, follow the steps below:

  1. Go to the Vendors and then click the Vendors Center.
  2. On the Excel dropdown, select the Import from Excel.
  3. A pop-up will show and hit Yes.
  4. Open the CSV file.
  5. Copy and paste the needed information.
  6. Click Save Changes.

Moreover, I'm sharing this article to help you start with customer transactions: Get started with customer transaction workflows in QuickBooks Desktop.

Let me know if you still have questions about exporting and importing files. Have a great day.

@ruth52

If you are using QB Desktop, you can use the migration tool as I mentioned earlier. It's a $299 one time license + you can get $100 cashback to purchase it via a partner.
