What Advisors Need to Know About the New QuickBooks Online Interface

Big changes are coming to QuickBooks Online with the rollout of a redesigned user interface. Built on the Intuit Platform, this update simplifies workflows, improves navigation, and provides a cleaner workspace—helping accountants focus less on navigating tools and more on delivering value to clients.

Change often raises questions, especially when day-to-day workflows impact client businesses that rely on you for strategic support. To address these concerns, we’ve compiled answers to the most frequently asked questions about the redesigned interface, how to use it confidently, and how to manage client transitions smoothly.

What is happening to the QuickBooks Online interface?

Starting in late August, QuickBooks Online will roll out a redesigned user interface. This update focuses on providing a simpler, more intuitive experience and is part of the larger Intuit Platform launch coming in November.

What additional features will be part of early access?

Early access is focused solely on the visual update to the interface. No additional features are being introduced during this phase. This update paves the way for future enhancements, such as AI agents and expanded Customer Hub tools launching in November.

How will this impact how I use QuickBooks Online?

While navigation paths might change slightly, workflows will remain smooth. Features like bookmarks will stay intact when switching to the new interface. Comprehensive training resources will guide you through any changes, ensuring confidence with the transition.

Will the location of my Accountant Tools change?

Yes. Accountant Tools will move to the My Menu section at the top of the left navigation bar. You’ll still have access to the same tools, now with added functionality to include Bookmarks.

Will my firm's books ("My Books") be affected in QuickBooks Online Accountant (QBOA)?

No, your firm’s books will remain in the classic view and will not be impacted by the new interface rollout.

Can I switch back to the classic interface?

Yes, you can revert to the classic view at any time using the settings gear icon. However, the classic interface will eventually be phased out over time as QuickBooks transitions fully to the redesigned interface.

Will there be a change in subscription price?

QuickBooks improvements are part of our continued investment in the Intuit Platform. Subscription pricing may adjust annually to align with these enhancements. Any changes to your base price will be communicated directly in advance.

What resources are available to help me learn about the changes?

A dedicated set of resources will include detailed articles, informational webinars, and an Accountant Toolkit to help guide you and your team through the transition. Keep an eye out for links and schedules.

How will these changes affect QuickBooks Online users?

The biggest change clients will notice is the new look and feel of QuickBooks Online. Core workflows, accounting features, and data remain unchanged, ensuring a smooth experience. The goal is to provide a cleaner workspace that simplifies daily tasks without disruption.

How do I manage my clients’ transitions between interfaces individually?

To switch a client to the new interface on their behalf, navigate to their books and click the settings gear icon. At the bottom of the menu, select:

Select “Try a new version of QuickBooks” to switch to the new interface.

Do I need to switch all my clients manually?

No. A bulk switch tool will be available to streamline management for multiple clients. When the tool becomes available, go to Settings gear icon > Select Switch and apply the change to all client accounts.

How does switching interfaces affect other users on the same account?

Interface settings are applied at the account level. If the Primary Admin or Advisor switches an account to the new interface, it applies to all users of that account. Similarly, reverting to the classic view will affect all users.

How can I identify the Primary Admin for a QuickBooks Online account?

Log in to QuickBooks Online, then go to Settings > Manage users. You’ll see a list of all existing users, with the Primary Admin displayed in the Role column. For tips on adding or changing the Primary Admin, check out this short video:

Will data be lost or impacted when switching interfaces?

No. Switching between interfaces does not affect financial data. Your clients’ information remains intact and accessible regardless of the interface used.

Additional General FAQs

When will my clients’ QuickBooks Online accounts be transitioned?

Early access begins in late August, giving select users access to preview the new interface. By September, all QuickBooks Online users can opt in to try the updated experience. Starting in November, the new interface will gradually roll out to all accounts.

Will the user interface for the QuickBooks Desktop App change?

No, the Desktop App will retain its current interface at launch. Updates for the app interface will be scheduled at a later time.

Will a sandbox environment be available to test changes?

No separate sandbox environment is available. Users can opt in and out of the live environment to preview the changes directly.

How can I share feedback about the new interface?

Your feedback matters! If you choose to revert to the classic view, you’ll be prompted with a short survey. Feedback from this survey goes directly to our product team to refine the interface further. You can also submit feedback anytime via the settings gear icon under Feedback.

Where can I access more information about the new QuickBooks interface?

What should I do if I don’t see the option to switch in the settings gear icon?

If you’re unable to see the switch option, try clearing your browser’s cache and cookies. Additionally, confirm you are logged in as the Primary Admin for the account, as only Primary Admins have the ability to opt in to the new interface.
