Hospitality rosters are built on variation - split shifts, weekend and public holiday loadings, casual versus permanent rates, all shifting depending on the day and the role. Under the Hospitality Industry (General) Award (MA000009), a casual employee's Saturday rate sits at 150% of the base rate (125% for full/part-time), Sunday climbs to 175% casual (150% full/part-time), and public holidays reach 250% casual (225% full/part-time) - with the 25% casual loading already built into those casual figures. That's a lot of different multipliers to apply correctly, shift by shift.

Understanding Modern Awards 2026 changes for Hospitality Businesses
Why this matters more in 2026
Modern award minimum wages rose 4.75% from the first full pay period after 1 July 2026 - the official Hospitality Award pay guide was republished on 24 June 2026 to reflect it. Any rate table configured before that date is worth checking against the current version.
There's also more at stake in getting it wrong. Wage theft became a criminal offence in Australia from 1 January 2025 - intentional underpayment can carry fines up to $8.25 million for companies and up to $1.65 million plus 10 years' imprisonment for individuals (Fair Work Ombudsman; DLA Piper summary). To be clear, a genuine miscalculation isn't criminal wage theft - that law only applies to intentional conduct. But it still means back pay, interest, and civil penalties, and a pattern of repeated errors becomes harder to explain as accidental.
Common places errors creep in
- Casual loading applied on top of an already-loaded weekend rate, effectively double-counting it
- Public holiday rates not updated when a public holiday falls on what's normally a rostered day off
- Junior rates applied to employees who've since become eligible for the adult rate
A quick check worth running
- Compare your current penalty rate and loading settings against the Hospitality Award summary or the Pay and Conditions Tool, which the FWO's own Infoline advisers use.
- Run a test pay covering a weekend or public holiday shift and check the calculation looks right.
- Spot-check a casual employee's pay against the current award rate.
Removing the manual step
The hard part isn't knowing the rules exist - it's applying the right one to the right shift, every time, as rates change. QuickBooks Payroll Advanced's pay conditions engine applies penalty rates, loadings, and overtime automatically.
