Hi Polly,
This should be an option on the Purchase Order, please go through the Cog Wheel and go to Account and Settings from here you should then see an Expenses option from here under Purchase Orders you should be able to see the option for Custom Transaction Numbers.
You should then have the customer option on the Purchase Order please let us know if you are still unable to see this particular option.
Hello Polly2,
Welcome to the Community - thank you for your question!
You can change the transaction number on purchase orders. When opening a purchase order, there should be a box on the right hand side labelled PO no. which you can then edit.
Thanks,
Talia

Hi there,
I can't see where I can update the numbering format in Quickbooks Online?
I can't impact on the custom fields as it is saying the 'Reached limit : you're using 3 of 3 custom fields'.
Thanks,
Carla
Let me share some information about adding custom fields to your sales forms and purchase orders in QuickBooks Online Plus and Essentials, CarlaGold.
We can only create 3 custom fields for sales forms in QuickBooks Online Plus and Essentials. Apart from this, in QuickBooks Online Plus, you can also create up to 3 more custom fields for purchase orders. Also, adding more than 3 custom fields is only available in QuickBooks Online Advanced. You can have 48 active custom fields: 12 for sales forms, 12 for purchase orders and expense forms, 12 for customer profiles, and 12 for vendor profiles.
If you need to make edits to apply to all forms that use the field, just follow the steps below:
To learn more about adding custom fields, check out this article: Add custom fields to sales forms and purchase orders in QuickBooks Online. Then to change or update the numbering format on invoices or other transactions, you can check out this article for the steps and details: Change the number on invoices or other transactions.
Next, you can follow this page for your guide on creating a new custom form style on your sales forms: Customise invoices, estimates, and sales receipts in QuickBooks Online. If you need to run reports of all your invoices, read this article: Customise reports in QuickBooks Online. It includes instructions on how to share custom reports and automate one.
Let me know if you'd like to do something else with your transaction format. If you need to run some other reports or make some entries, add the details below and we'll work something out.
