Import your spreadsheets to QuickBooks

We understand that many of our new customers are already using spreadsheets to record their customers, suppliers, products and services, income and expenses. The good news is we have the functionality you need to help you bring your spreadsheets into QuickBooks.

 

In this article, we recommend that you to import your spreadsheets into QuickBooks in the order below to help you get set up as quickly as possible.

 

Customers

Most of our QuickBooks customers keep a list of their customers in a separate spreadsheet. You can start by importing a list of your customers into QuickBooks.

 

If you do not have a list of your customers in your spreadsheet, do not worry. If your customer details can be found in your invoices and you are planning to import them later, your customer records can be imported then.

Suppliers

If you have a list suppliers that you use, import your supplier to QuickBooks next.

 

If you do not have a list of your suppliers in your spreadsheet, do not worry. If your supplier details can be found in your bills and you are planning to import them, your supplier details can be imported then.

Products and Services

If you sell products and services, we recommend you import your products and services list with the respective quantity on hand. This ensures that you have the right stock quantities going forward.

Invoices

This is a time saving functionality that allows our customers to import all their invoices into QuickBooks simply and quickly. If you have not imported your customer list earlier, all customer details on this spreadsheet can be imported into QuickBooks.

Bills

Similar to invoices, you can import all your bills into QuickBooks using a spreadsheet. If you have not imported your supplier list earlier, all supplier details on this spreadsheet can be imported into QuickBooks.

What transactions are you looking to upload manually?You can download the QB app on your tablet and use it in conjunction with the browser version.

 

If you can advise which transactions you are wanting to manually add and also if you are using QuickBooks Self Employed or QuickBooks Online we can advise how to do this.

why can't we add more than one contact for each company? This is available in Xero and all other basic accounting softwares.

 

And finally, when you upload the list of customer's, why QB doesn't show company name by default - most of us using QB invoice companies, not accountants working for those companies :). Honestly, from day one i have moved from Xero to QB I got into much doubt that I've made a correct decision. I hope I will get used to your unusual ways.

 

And also, how annoying that I have create a separate profile for a customer that we invoice in different currencies. Is it something unusual in 21st century?

Go to a customer, and hit edit. If you've entered the contact name (the first line of the customer details screen) there's a drop-down menu below that which allows you to choose whether to shoe the contact name or company name. (This doesn't affect how it appears on your invoices to them, just how it appears to you in quickbooks)

Hi. I have been spending a lot of time recently trying to manually add the past years mileage info. The mileage function is great; however, when I am trying to duplicate or make a journey a 'round trip' specifically for May 13 2020, it duplicates it as another date. It does not seem to like 13th May. 

 

Is there a way of importing all of my mileage data into quickbooks in one hit?

Thank you for reaching out to the Community. You can use the CSV file format to import your mileage in QuickBooks. Also, you can use a third-party app that integrates with QuickBooks. Just go to the Apps center and search for it.

The best way to import a Trial Balance into QBO is with the import type Journal Entry. Keep in mind, any line in the import file that posts to an AR or an AP Account must reference a name (Customer or Vendor), and that name must already exist in your QBO account.

Hello Yasir Faraz, thanks for posting this thread,  So you can import it as a journal entry using the import data tool which you will find in the main cog wheel> under tools > import data> journal entries.
