Part Salary and Part SMP Payment on Advanced Payroll

I have a member of staff who is going on maternity leave in a couple weeks. They are currently on Salary payment.  Next month they will be working, half on salary and half as SMP. I can not get the Pay run to read correctly. It currently only seems to allow for SMP. The Salary is there but as expected it minus' it off to account for the SMP. 

I know this isnt the first person to do the same with maternity leave etc, but i cant seem to get it work correctly. This is the first time we have had to do SMP so its all new to the company.

 

Can someone help me to correct the error and to pay the employee for the 12 days normal work and the remaining as SMP?!

Hello there, @swcrltd. I'm here to help you correctly set up the Statutory Maternity Pay (SMP) in QuickBooks Online (QBO). 

 

In QBO, you have to ensure that you select the correct start date when the SMP will begin. Let me guide you on how:

 

  1. In your QBO account, select Payroll and click Employees.
  2. Then, select the name of the employee and choose Statutory Payments. Click Add.
  3. In the dropdown choose Statutory Maternity Leave.
  4. From there, enter the Start date and Baby due date. You'll see the Average weekly earnings, select Override to edit it.
  5. There's a message that will appear if an employee is eligible for SMP, just click the View log to see the info.
  6. If required, modify the Weeks payable. Then, if applicable input the Weeks already paid.
  7. Ensure to select the correct Calculation type (Weekly payments or Align with pay period).
  8. Click Offset SMP if you want to offset against basic pay. If not selected, only the statutory payment will be made.
  9. You'll see the table shows the SMP due and the Status. Then, under Advanced settings, choose the applicable options.
  10. Just click the Add option under Attachments, to upload documents. When finished, select Save.

Thanks for reply - i have completed all this now, i hadnt clicked offset SMP. 

However the Pay run still isnt correct as it is showing 
SMP given

then SMP same amount from above deducted. 

Then the normal Salary - so the employee is getting the same as if she was working all the way through. But this is incorrect. 
For example: 

SMP is say £100 

Then it Minus £100 SMP 

Then Salary @ £1000 
End amount is still £1000. which it shouldnt be

Hi swcrltd, thanks for getting back to us - did you exclude and then re-importe the employee to the draft pay run after changing the offset SMP setting? This will allow any changes on the system to be taken into effect. :)

Hello there, @swcrltd. Let me get the help you need in paying your employee. 

 

You'll have to Offset SMP so the payment offsets against basic pay. Because if you don't choose it, only statutory payments will be made.

 

To do this, let's remove and re-add employee first to the pay run to allow any changes on the system. To exclude an employee to the payrun, here's what you'll need to do:

 

  1. Open the pay run that you wish to exclude the employee from.
  2. Click on the employee in the pay run to expand their pay run details.
  3. From the Actions menu, select Exclude from pay run.
  4. The employee will now be excluded from the pay run.

 

To add the employee again, follow these steps:

 

  1. Create the pay run that you’d like the employee to be included in.
  2. Once the pay run is created, click Pay Run Actions then Add Employees.
  3. Type the name of the employee you’d like to add.
  4. You will then be presented with the reason why this employee wasn’t originally included in the pay run. If you’re happy to proceed with adding this employee to the pay run, click Add Employee.

 

Once done, continue following the steps 11-16 from this article Statutory Maternity Pay (SMP) in QuickBooks Online Advanced Payroll under the Add a Statutory Maternity Leave section.
