QB say I cannot change the NI code from A to C in the middle of the tax year. HMRC say they may not refund overpaid NI. Has anyone got around this problem?

QB suggest rolling back to April and changing NI code, but HMRC say the employee would not be paying NI when they should be.   If I leave it until next April to change the code the employee may not be refunded the NI paid since state pension age.  HMRC say the software should be able to deal with the code change mid tax year and won't guarantee repaying NI. The only solution I can see is the employee resigning and then re-joining the company.

Hi penny34, thanks for posting on the Community

 

It isn't possible to change the NI letter in QuickBooks Online Standard Payroll part way through the tax year. This is a limitation of the software and the proposed workarounds would be to upgrade to QuickBooks Online Advanced Payroll, or to use HMRC's basic PAYE tools to run & submit payroll for the remainder of the year. 

 

You can also continue to use the original NI letter until the end of the year and then change it, however, any liabilities due to the limitation would need to be reclaimed by HMRC directly (though we appreciate they are unable to guarantee this).

Thanks for your reply.   What is the cost of QB Online advanced payroll?  If I upgrade to this can I downgrade again later?

Please know that the option to downgrade your payroll subscription is unavailable in QuickBooks. However, you can cancel it and subscribe to a lower-tier plan. 

 

Here's how:

 

  1. Sign in to QuickBooks Online as a primary admin.
  2. Go to Settings ⚙ and select Subscriptions and billing.
  3. Click Cancel subscription or Cancel online.
  4. Follow the on-screen steps.
