Hi PigzleFly,
Currently there is no way to customise the employee list or remove the inactive employees in the standard version of QuickBooks Online payroll - please leave feedback for this by going to the Gear icon > Feedback as this will go directly to our software engineers who are able to implement such changes.
Thanks
Hey PigzleFly,
Which version of the Payroll are you using - Standard, Advanced, or PaySuite?
If you are unsure how to check this I can guide you.
Thanks
Quickbooks online - the basic version. Currently, employees are listed in the order i added them, which is somewhat of a nuisance as there is no way of quickly drilling down to any particular member of staff. Also, it would be good if there was a way on not displaying Leavers in every list.

There are many things wrong with QuickBooks Online but this is probably the stupidest.
Who actually wants to sort employees by first name? Do QB expect employers not to know their employees' surnames?
It is more common to have shared first names than surnames. e.g. - If I have 5 employees called Jack, 5 called Lucy and 5 called James, it becomes a complete pain to find their names when scanning down a list.
Sorting employees by surname should be the default setting. It seems like an error made when Intuit were building the system. Please fix this as soon as possible.
Hello, @accounts63.
I want you to know that your voice matter about this feature. And, I understand the importance of sorting the employees by their last name. I'll take note of this and pass along the information to our product engineers. This way, they'll be able to know what our customers needed and be able to work with this in the coming updates.
Also, you can check out our blog to stay current with the latest QuickBooks news and updates.
Get back to me if you have any other questions. I'm always here to help. Have a good day!
Thanks for the response but it never really feels like, as you say, "your voice matters". It can be frustrating reading the QB team say things are being passed on to the software engineers when in reality problems never get fixed.
I often find very old conversation threads like this one highlighting important issues which are never resolved. This really simple issue was raised 6 months ago. How long does it take for a solution to be implemented?
And when we do get a system update, rather than addressing existing problems with the core features of the system, instead we get new features we don't need or shiny new graphs we didn't ask for. Do Intuit/QB prefer to work on new features rather than improving the ones they already have?
This is not what we want you to feel, @accounts63.
Rest assured our engineering team is aware of this feature request. While we don't have a specific time frame as to when this feature will roll out, I recommend checking out the blog page shared by my colleague Angelyn_T above.
This way, you'll know what our product engineers are currently working on.
Also, do check our Employees and payroll page to read and learn some best practices in managing your employees.
In case you have other concerns or questions with your QuickBooks Online (QBO) account, you're always welcome to post here anytime. I'm more than happy to work with you. Have a great day and keep safe!
Is this an option in QBO Advanced Payroll? I want to sort my employees by their surname but can't see how.
I see that a recent update now lists employees by surname - well done! However, and it's a big however, when I run the payroll, employees are still listed by christian name/initial. So, half a job done, let's get your backroom girls and boys to finish it properly!
Hi AliH1, there is currently no option to categorise the employee list by surname, please share feedback for this request by going to the Cog Wheel > Feedback within your account.
Used to be able to do it in desktop.
This problem still hasn't been fixed can quickbooks intuit please sort this out ASAP.
Two years later and the problem still hasn't been fixed. When will this become a priority for Quickbooks.
We're taking notes of your feedback and suggestion, @richard2393.
I've come to share information on how feature requests are enforced in QuickBooks Online.
Please know that all suggestions are being considered by our product engineers based on the volume of requests and their influence on the user interface before they are implemented.
I can see that sorting the employee's list by surname is beneficial for you and your business. For now, I encourage submitting feedback directly to our product engineers. They may look into this suggestion and consider adding the option in the future update. To submit feedback, you can go to the Gear icon and select Feedback. Then, enter your suggestion and click Submit.
You may want to view all your sales transactions in the future. You can go to the Sales menu and select All Sales. This will gives you a great view of the status of sales transactions, open invoices, and paid invoices.
We're always here to listen if you have concerns regarding other features. You're welcome to post again or leave a reply below, @richard2393.
Has this been sorted yet? I use the advanced system and can't believe the enployees are listed in christian name order rather than surname? I haven't been able to find a solution.
Hi PJ1008, thanks for dropping in.
It's not currently possible to sort the employee by surname in QuickBooks Advanced Payroll. If you haven't already, please submit feedback in QuickBooks (located under the settings icon). This helps our Product Development team in identifying the key pain points for customers, so the more feedback we can get, the better. Thanks again.
