Mileage claim

Hi,

I'm trying to work out how to claim the 45p per mile allowance for personal vehicles. I've added all the milage to the correct vehicle in the milage section and started to follow this guidance:

The issue is that when I get to the section for: Create an item for mileage reimbursement

my options are somewhat different.

 

Once I've done this how is the VAT calculated? It should be rebated at a rate of 1p per mile.

I've got some information about claiming mileage. 

 

To claim reimbursement for mileage you can use the billable feature. This is available in QuickBooks Online Plus and Advanced. You may consider upgrading your subscription: Upgrade or downgrade your QuickBooks Online subscription

 

In QuickBooks Online, you'll only be able to claim the mileage for your vehicle.  You can check out this link for more information: Claiming business mileage the easy way

 

Should you want to check employee reimbursements,  use this article as your reference: Reimburse an employee.

 

Just in case you'll need further assistance in claiming business mileage in QBO, don't hesitate to leave a reply below. I'd be glad to help assist you more. Take care.

I can see where you're coming from to get your mile allowance for a personal claim, @E1024.

 

I want to make sure this is taken care of. May I know what options are you seeing when trying to create an item for mileage reimbursement? Screenshots and additional details are much appreciated. This will give me a greater understanding and the extra steps to point you in the right direction.

 

On the other hand, the VAT calculation for rebated mileage rate is unavailable in QuickBooks. You can review this article for more details: https://www.gov.uk/hmrc-internal-manuals/vat-input-tax/vit55400.

I'm not surprised that Quickbooks doesn't work the VAT for this properly, everything about Making Tax Difficult is less than straighforward.

Thanks for getting back here, @E1024. I'm here to further help you in claiming business mileage in QuickBooks Online (QBO).

 

If you're a sole trader, you have two options for accounting for your mileage. You can use the Actual expenses (or full cost) method or the Standard mileage deduction. However, if you're a director of your own company you can only use the second option. For detailed guidance, please visit this article: Claiming business mileage the easy way. 

 

Also, may I know what version of QBO are you using? That information is a great help so I can provide an exact solution for your concern.

 

Getting a copy of your mileage trips is a breeze in QBO. You just simply need to go to the Mileage page and click the Add trip drop down then, select Download Trips. This will open an Excel file with a report of all the trips you've input.

To confirm I'm a director so only the second option applies to me.

 

I have Quickbooks Online Simple Start according to my account info. 

 

I'm aware that I can pull a report for my milage but it is paying myself the claimed milage allowance and also processing the tax correctly that I am struggling with.

I'll share some insights about reimbursing your employees' mileage in QuickBooks.

 

The steps you've taken apply to QuickBooks Online Essentials as well as any higher-level QBO programs.

 

Also, because car expenses and mileage are such broad topics, we won't be able to cover everything.

 

However, HMRC has more information on the Simplified Expenses Checker. This will allow you to compare what expenses you can claim using simplified expenses with what expenses you can claim using actual costs.

How do I claim the mileage under the standard deduction process? Once I've added the mileage under the mileage section it doesn't seem to do anything, yes I can produce a report but that seems to be about it.

 

How do I go about reimbursing the milage costs based on the miles claimed?
