Mileage on QBO - access and data usage

I am new to QBO online and I have a couple of questions about the mileage tracking. 

 

Firstly, my client cannot seem to track mileage on his account, but I can i. I have read on the forums from last year that this was only available to master admins, is this really still the case? It seems very strange that access wouldn't be able to be given to users to collect useful data on employee expenses. 

 

Secondly, on my own account I can track mileage, however this data seems to sit separate from my books. There doesn't seem to be a way to convert this as to an expense/bill (to allow me to pay the employee expenses), and/or make this billable to a client? Do I really need to run a report, extract the data and then create a mileage expense? what really is the advantage of using QBO to track mileage over a spreadsheet if it cant be pulled directly into the accounts without retyping it? 

 

This doesn't seem consistent with the other areas of QBO which are all well integrated and the data can be pulled from one area to another. I also see that we can amend a users access to lots of areas, but not to mileage. 

 

Please can someone tell me this has all been sorted and show me how to do this, or at least advise what the time frame is for an update....

Allow me to share insights into why your client can't track mileage on his account. 
 

In QuickBooks Online (QBO) mobile app, you can only track mileage if you're signed in as a user with admin privileges for the company file. Our Product Engineers are working on allowing other user types to use this feature soon.

 

To answer your second question, employees should use company vehicles for business trips. If your employee used their personal car for business, you should create an expense. This way, you'll record the reimbursement correctly in QuickBooks.

I have been entering the mileage for my client in her QBO. On her end she can't see the entries or the total mileage entered. What is the reason for this and how do I fix it?

Hi Kim VA!

 

I know the reason why they can't see the mileage. I'm here to help you and explain the reason why.

 

Although QuickBooks Online has a mileage tracking feature, it is only available to admin users. Your client should have at least Primary or Company Admin access so they can see the mileage.

 

You'll want to change the access of your client by following these steps:

  1. Go to the Gear icon and select Manage users.
  2. Find the client you want to edit, then select Edit in the Action column.
  3. In the User type drop-down menu, select the Admin user type.
  4. Select Save.

 

Once done, inform your client to sign out and sign in again into QuickBooks Online to see the updates. I also added these links for your reference in managing the users and mileage in QuickBooks Online:
