Let's go through some troubleshooting steps together to resolve the issue your employees are experiencing with sending invoices on their QuickBooks Online (QBO) app, prosmart.

If they're using an Android device, let them clear the app's data to refresh the system and eliminate outdated files causing the behavior. To do so, follow these steps:

  1. Go to Menu ☰.
  2. Tap Settings, then Refresh Data.
  3. Tap YES to confirm.

If the issue persists, I'd recommend uninstalling and reinstalling the app. This is to ensure the version you'll be using is updated.

On the other hand, if they're using an iOS device, I suggest that they contact our Live Support team. They possess the necessary tools to conduct investigations and screen-sharing sessions for efficient QuickBooks navigation. Please refer to our support hours to ensure that we can assist you promptly.

Here's how to reach them:

  1. Open your QBO mobile app.
  2. Go to the Menu, then press the Help icon at the top right corner.
  3. Choose Articles and Support, then tap Contact Us.
  4. Select the Ask about something else tab.
  5. Type in your concern and hit Continue.
  6. Choose a way to connect with us.

In the meantime, they can send invoices using the web browser. This way, you can efficiently continue managing your invoices.

Additionally, to learn how to enter money you receive from customers, you can explore this article for reference: Record invoice payments in QuickBooks.

We're committed to ensuring your experience is seamless and that your business operations run smoothly. If you have additional questions about invoices, feel free to reach out in the comments below.

Yes. On the iPhone app.

The message that appears is:

Invoice needs approval

The changes made to invoice needs an internal approval before it can be sent to the customer

It first happened Thursday 15th May to one user, and then I reported to Quickbooks on Tuesday when it happened to another user.

It appeared after clicking “send” on an invoice, which quit Quickbooks every time you hit send (and didn’t send the invoice).

I was able to send the invoice by going into the invoice, clicking the 3 dots, and choosing “email” (which correctly sent the invoice), and then the message appeared.

Someone else had already reported to Quickbooks, so it’s on their bug list to fix.

You can clear the app's data to reset the system and remove any old files that may be affecting its performance, Konrad. This action will free up storage space while still preserving your app's documents and data.

If you're using an iOS device, proceed with the following steps:

  1. Go to your Settings app.
  2. Access the General section, then tap iPhone Storage.
  3. Once everything loads, scroll down and find your QuickBooks Online app. Open it, then select Offload App.

If you're using an Android device, follow these steps:

  1. Go to the Menu ☰ at the top right corner of the screen, then tap More Options ⋮.
  2. Choose Settings, then Refresh Data.
  3. Tap YES to confirm.

Afterwards, turn the device off and then back on, and try accessing an invoice in your QuickBooks app again. If the issue persists, you can uninstall and reinstall the app to ensure you have the updated version.
