Accessing accounts having cancelled my susbscription

As I have closed my company I cancelled my subscription on the understanding I would be able to still access my accounts, BUT it seems that I cannot, I need the account history to complete tax returns etc.

I have exported files to Excel but the files open in my Photo Editing progarm NOT in Excel?? All the repoert are ZERO???.

Accessing accounts having cancelled my susbscription

Hi @AndrewBI

Are the reports showing all zero in QBO or have you figured out how to open the downloads in Excel?

To check the downloaded files are Excel files - Left Click > Properties.

Near the top of the pop-up box it will say Type of File - this should be Excel Worksheet (.xslx).

To reset the associated application - Left Click > Open With > Excel or Other Application then Excel.

If all the figures are showing zero in Excel, this is sometimes a problem with the way Excel interprets numbers (it tries to automatically format as dates, times or currency but doesn't always get it right).

Click Edit > Select All > Format Cells then change all to Text - sometimes that resets.

Hope this helps.

Accessing accounts having cancelled my susbscription

I have now managed to open as Excel files.

However when I open Profit and Loss it bears no resemblance to the one I saved before I unsubscribed.

This new one shows my Net income as £12907.18

The P&L I had saved before I unsubscribed shows Net profit as (£2046.63)

So not sure whats going on here.

I did select all and save as TEXT but made no difference.

HMRC require account details to be retained for at least 7 years so not sure how I now comply with this?

Thank you for coming back to the Community, AndrewBI.

The accounting method impacts how revenue and expenses are recognized. In addition, the date range selected determines which transactions are included in the report. Also, a small discrepancy in the date range can cause issues.

However, if the date range and accounting basis are correct, I recommend contacting our QuickBooks Online (QBO) Care Team for further investigation. They have the tools to determine what causes the differences in the reported amounts and will help you apply a permanent fix once it’s ready. Reaching out to them ensures that your reports are accurate and your business complies with the HMRC guidelines.
