Invoice number does not import

I am importing invoices using a .csv file and all fields work except the invoice number.  QBO assigns a new invoice number rather than pick up an invoice number from the file.  The original invoice number does not already exist in QBO. The example implied (to me) that the original invoice is a mandatory field for the import.

You can go to the Account and settings and make sure to turn on the Custom transaction numbers option. This way, QuickBooks will not assign or automatically numbers your invoices when you process the import.

 

Here's how:

 

  1. Go to the Gear  and select Account and Settings.
  2. Click the Sales tab. Then select Edit ✎ in the Sales form content section.
  3. Tap Custom transaction numbers and turn on the option.
  4. Hit Save and then Done.

 

Once done, you can now upload your spreadsheets and map your import fields correctly. For detailed steps, see this article: Import multiple invoices at once.

 

You can also bookmark the articles below for future reference. It contains a video for visual reference and steps on how to enhance and add a brand to your sales forms.

Invoice number does not import

This does not work. QBO will not import the custom invoice numbers even when the settings has been updated?

What am I doing wrong, I can't get these invoices to import because I keep getting "unknown error" on the invoice number field.

It's likely that the browser's cache has been stored for a long time, which could be causing your browser to behave strangely. I recommend clearing your browser's cache to remove old data and access QuickBooks with a clean slate. This will prevent any interference from extensions, plugins, or cookies. You can also switch to a different supported browser or log in to your QBO using incognito. Here are the shortcut keys for these browsers:

 

  • Google Chrome: press Ctrl + Shift + N
  • Mozilla Firefox: press Ctrl + Shift + P
  • Microsoft Edge: press Ctrl + Shift + N
  • Safari: press Command + Shift + N
