Dear Community,
Can someone explain the reason of permissions not working appropriately in Quickbooks UK.
I have assigned a user access to create and print transactions in all the areas but i have not given them the premission to make changes and delete a transaction.
Now this rule applies corretly when i try deleting transactions created by someone else but if i create any kind of transaction , i am able to delete it at the same time but according to the rule i dont want them to do it.
Can someone help me clarify this or help me find anything i might be missing or is it a bug in the software?
Thank You
Hello Bhavana, Can we ask you to log out of that user and then sign back in as them the permission should then update mot to be able to delete any transactions under that user.
i have done multiple scenarios including logging off and on with the same user and creating transactions and deleting them(which is not possible but is allowing) and creating transaction with admin user and trying to delete that with the other usr the rule applies successfully.
Hi Bhavana, thanks for coming back to us. Can we ask are you only able to delete the transactions you have made?
Yes,I am able to delete the transaction made by me but ideally once i create a transaction i should not be able to change or delete transactions made by me or others according to the rule and can be done by users who have the correct permissions assigned to them only.
I appreciate you coming back to this thread, @Bhavana. Let me clarify things and make sure a user can’t make any changes with only limited access.
To begin, let's review the permission that you've set up for the user. Make sure to select Selected Areas in QuickBooks when giving access to them. Then click Create and Print transactions among the options.
You can also follow these steps on how to view users access:
Once confirmed that you have given the correct user access but the user can make some changes to the transactions, we can use the verify and rebuild tool to identify and fix common data issues in QuickBooks.

Hi,
I have tried that as well for the transaction type and i have given the permission to not allow to delete or change transactions but i am still able to delete the trasnactions that i have created.
Please look into this i have attached a screenshot of the permission as well.
This permission is not effective at all when it comes to not deleting the transaction that are created by me but prevents deleting transactions created by other users.
Good day, @Bhavana.
Let me join in this conversation and share more info with regards to user permission access in QuickBooks Desktop Premier Accountant 2020 UK version.
I've replicated the same steps and found out that the restriction will only take effect if another user is trying to delete somebody's transactions. This permission won't work on the user itself.
I can see how this option would be helpful for you and your business. Therefore, let me take note of this as a suggestion to improve your QuickBooks experience.
