PROJECTS and bills

Hi, I have just started using projects. I understand the easiest way to record costs, is to open a project, and add a bill (or whatever) to it that way. My question is, if I have a supplier bill which relates to more than 1 project, how do I deal with this? Thanks Paula

Hi paulaharper

You can apply the project to different lines within the bill, so on line one you can have it posted against one project and then line two another project.

That's great - thanks. I'm having a play around with how things work. One thing, once I've added a sales invoice (or a bill) to a project, on the list of projects, it's still showing zero costs and income. I have to actually run a report, and tick accrual. Is there any way to quickly see which projects haven't been invoiced to the customer?

Hello Paula,

Can you please go to the cog wheel > account & settings > advanced and check which accounting method you have selected?

Thanks,

Talia

Hi We are on cash basis. That's what our business runs as, so I need it set to this for all our other reports.

Hi paulaharper

If you have added an invoice to a project and you are on a cash basis it should show as income within the project. We advise you to check that you are on a cash basis, cog/gear icon > account and settings > advanced > Accounting > accounting method > Cash.

In your previous post do you mean which invoices haven't been allocated to a project, as you are unable to create a project with out allocating it to a customer?

Hi John Please see attached screenshots of: page 1 - from projects screen where it lists all the projects page 2 - when you click into project C7516 page 3 - when you click on transactions of project C7716 It's the same for bills./expenses Will the sales invoices only show on front screen once they have been paid to us by the customer? And costs, once they are actually paid out to the supplier? Thanks.

Hello Paula,

Yes, as you are on cash basis, the income/payments will only show on the front page of the project once you have received/made payment on the transactions.

Thanks,

Talia

Hi Jonathan,

There is no maximum number of projects you can have in QuickBooks, However the more you have it might take longer to load them.
