Spreadsheet Sync

I have SSS installed on several PCs. On some, but not all,  the QBO login is saved so it doesn't have to be entered each time. Does anybody know how to configure this?

Hello, Richard! I understand how convenient it will be to configure the login for accessing Spreadsheet Sync in QuickBooks Online (QBO). Rest assured, I'll discuss whether this process is possible so you can continue analysing and organising your data.

At the moment, users are required to enter their sign-in information every time they wish to access Spreadsheet Sync in QBO. While I understand this may seem inconvenient, security measures are in place to protect your files and ensure that your sensitive data remain safe.

However, you can opt customize your browser settings to save your username and password, which will allow you to autofill your account information during your next visit. The steps to do this vary depending on the browser you’re using, so please check out the links below for specific instructions:

Additionally, if you're looking for guidance on utilizing Spreadsheet Sync's report templates to effectively present your QuickBooks data, I recommend checking out this article: Create and edit reports in Spreadsheet Sync in QuickBooks Online. You are incorrect. There is a Remember Me checkbox and the password is entered automatically each time. A screenshot is attached

This is a Windows 11 PC. Maybe this is a Microsoft enhancement

Thank you for the screenshot, @RAJ111. I'd like to clarify how to manage your QuickBooks Online (QBO) login credentials across multiple PCs.

To simplify the login process, QBO provides an option to remember your password. When you check the Remember me checkbox during login, your credentials will be saved, allowing easier access to your account without needing to re-enter your information each time.

If you prefer not to save your login information or if you're using a PC that has saved logins, you can log in using an incognito or private browser window. This method will not use saved credentials, and you will need to enter your login information each time.

If you're having issues with saved logins, clearing your browser cache can help resolve them. After clearing the cache, you can try logging in again and decide whether to save your credentials.

Additionally, you can create and edit budgets with Spreadsheet Sync. If you wish to know more about this, you can check out this article: Budgets in Spreadsheet Sync for QuickBooks Online Advanced.

You can always let me know in the comments if you have any other concerns about syncing data in QBO. We in the Community will get you covered.

I have memorised credentials within QBO (I use the Desktop version rather than a browser) but my question relates to why these are not always visible within Spreadsheet Sync.

On Excel SSS running on Windows 11 devices only one of my two logins offers a saved password (see the screenshot I sent previously). On other devices no saved password is available.

So my question is - how do I access both saved credentials from within SSS.

Is this an Excel/Microsoft/Configuration Issue?

Thanks

Richard

Spreadsheet Sync

Thanks for coming back, RAJ111. Let's perform some troubleshooting steps and resolve the inconsistency with the saved credentials not being consistently available within Spreadsheet Sync (SSS) for QuickBooks Online (QBO) on different devices.

It could be influenced by several factors, including Excel settings, Windows Credential Manager, and possibly how each device is configured. Check the Windows Credential Manager and verify if QBO credentials are saved. Here's how:

  1. Open Control Panel.
  2. Navigate to User Accounts and then Credential Manager.
  3. Under Windows Credentials, look for entries related to QuickBooks or the applications involved. Then, ensure that the credentials are saved and correct.

Then, ensure the Spreadsheet Sync add-in has the necessary permissions to access stored credentials. Let me guide you on how:

  1. In Excel, go to File and select Options.
  2. Click Trust Center and choose Trust Center Settings.
  3. In the Trusted Add-ins Catalogs, check if settings might be restricting the add-in's functionality.
  4. Make sure the version of Excel and any related updates are consistent across all devices. Discrepancy in versions may affect the behavior of the add-ins.

Credentials saved on one device are not automatically available on another device unless they share the same profile or configuration. Then,  make sure all devices are configured similarly in terms of login and security settings. Also, re-authenticating and explicitly saving your credentials again on each device helps to ensure consistency. We can log in to QBO via SSS on each device, and if prompted, choose the option to remember or save the credentials.

By ensuring that Credential Manager entries are properly set up, Excel and browser settings are correctly configured, and the environment across all devices is consistent, we can achieve uniform behavior where QBO logins are saved within SSS.

Further Update:

I have now managed to solve one of my issues - adding a saved password to a second logon account on a Windows 11 device running SSS. On SSS it is necessary to first delete the UserID and then recreate it. You are then given the option to save the password within the SSS Application. It doesn't appear related to saving passwords on QBO per your previous comments. Hopefully this advice will help others.

There remains the problem that this doesn't work on other devices - specifically RDP access on a hosted server. Unfortunately this is our usual method of accessing SSS. What is the solution to this?

Currently, QuickBooks Online (QBO) doesn't allow you to configure settings for accessing saved credentials using Spreadsheet Sync. You'll have to configure your Remote Desktop Protocol (RDP) settings through the Windows operating system to save a password and access a hosted server, RAJ111.

You'll want to contact our Customer Success team for questions about the Spreadsheet Sync passwords or anything related to the product and technical issues for further assistance. Thanks for your detailed reply which "crossed in the post" with my last post.

Using your information, on the Windows 11 devices where I have admin access I can see the credentials etc.

On the managed server I do not have admin access so cannot see credentials. However I use QBO desktop on this server and passwords are saved for all my logins so presumably credentials can be properly configured.on this server.

On SSS, If  I delete users and then,  as before, attempt to re-add, a list of saved credentials does appear but when I select one, the password does not get added as expected.

I've checked the Excel Trust configurations and they are the same on all devices.

I did contact Customer Services but they were pretty unhelpful. Their only comment - after the usual platitudes - was that since the password saving worked on some systems but not others it couldn't be an Intuit issue! If any member of the community has any more helpful advice please post it here.

Thanks
