Can I ask how I track the almost 30 employees that I have who work term-time only on Quickbooks Advanced Payroll? I run payroll for a pre-school where the school staff receive 38 weeks pay stretched over 52 weeks. This is so that they receive a regular monthly salary as opposed to being paid just for hours worked (i.e. nothing in August, for example). I have not yet found a way to track this as the issue I have is that their hourly rate falls below minimum wage as it is stretched over the year whereas in actual fact they are all at or above it. I keep getting warnings about this when I run payroll so short of turning this warning off (easy option) I would like to properly account for this as well as correctly accruing holiday. Thank you in advance.
Hi htwydell,
I appreciate that you're entering everything here in detail. However, it would be best if we have visibility of your account as we guide you through the setup. For this reason, I'd recommend reaching out to Support tomorrow during the UK business hours, so they can help you with this.
Here's how to reach them:
You can also check out the QuickBooks Online Advanced Payroll Hub for references with other topics.
If you have other questions at the moment, feel free to go back to this thread.
I have the same issue and hear from many others in the same field that they do likewise.
PLEASE can we have full clear guidance on this.
Thanks
Hi BELS, thanks for joining this thread - can we clarify the exact issue that you are having with the employee time tracking so that we can offer guidance on this?
Hi & thanks for your message.
What I'd like to do is exactly as in the opening message of this thread, precisely the same as what htwdell wanted to achieve.
However, there is no guidance in response to htwdell's query, just instructions on calling support. So there is no guidance for me to copy!
If this would be put in writing then it would be there for me and anyone else who requires the same guidance.
Thanks for joining the thread, @BELS. I understand how you want to acquire this guide fully.
I can share some insights to track term-time employees using an hourly rate pay basis. Let's begin by setting up employees in your QuickBooks Online Advanced Payroll account. Ensure you set up their employee profile with their respective details, such as hourly rates and pay schedules. You can reference this article for the detailed steps and information about what you need to get started: Add, and update an employee record in QuickBooks Online.
On the other hand, setting up a pay schedule is crucial. You'll have to determine when your employee's work started. This way, the system will calculate based on the number of hours worker has acquired in a specific period. You might also require pay run approval for this set-up to review the employee's hours. Feel free to check the articles below:
Before paying your employees, I recommend reviewing this setup guide for QuickBooks Online Advanced Payroll. This way, you can choose your EPS submission date, customise employee pay slips, and account payroll expenses and liabilities in your chart of accounts properly.
And also, please check the Adding Leave Categories and Accrual in QuickBooks Online Advanced Payroll reference since the details from the above article don't include the particulars in this resource. It covers how to set automatically accruing leave.
In addition, if you'll need live assistance to do this via call, you may want to follow JessT's guide since QuickBooks Online Advanced Payroll has dedicated support to help set up your account.
You can always count me in if you need more assistance with the setup. I've shortened it all and will be here to help you more. Keep safe and more power to your business!
Good morning,
Thank you very much for trying to help.
Have you had a PROPER look at the complete opening message of this thread? In particular "staff receive 38 weeks pay stretched over 52 weeks…. This is so that they receive a regular monthly salary as opposed to being paid just for hours worked..."
Although I appreciate your trying to help, it will be of no use unless you have fully read & understood the problem in the first message of this thread, which we and many in the education/childcare sector are facing.
Looking forward to guidance that directly addresses the issue, I do understand that it may require someone at QB with more experience to solve this.
I appreciate your patience in this matter, @BELS.
I want this to get sorted out to get you back to business in no time. With this, I recommend you contact our Technical Support Team. Our phone representatives have the advanced tools to check your account securely while maintaining your privacy.
Here's how:
Additionally, refer to this article for other options when contacting them. You can also scroll down to the bottom to see their support schedules and hours: Contact QuickBooks Online Payroll Support.
Let me know if there's anything else I can do to assist you further. Have a good one!
Thank you for offering me to contact support.
Once again it would seem like QB Team replied without having read the thread properly/completely.
My second message 2 days ago was:
…However, there is no guidance in response to htwdell's query, just instructions on calling support. So there is no guidance for me to copy!
If this would be put in writing then it would be there for me and anyone else who requires the same guidance.
Dear QBO support,
Can we please have written guidance on this issue, so that everyone with the same issue can make use of it?
Most importantly, read the opening messages of this thread and ensure you have PROPERLY understood the problem many of us are having.
If you don’t have the answer, please escalate to higher level support.
Please don’t simply copy/paste standard payroll guidance articles, or wonderful guidance on how to contact support!
