Why cant quickbooks see my payment? It wont let me mark as paid?

Hi there,

One of the reasons why QuickBooks isn't recognizing your payments yet is if the payment came in through a connected bank which hasn’t been matched yet. I'll provide you with the other reasons and guide you how you can fix this.

To elaborate further about the bank feed delay, the payment transaction that hasn't been matched yet is still found under the For Review tab. You'll need to match the payment transaction to the bill for it to show as paid. Here's how:

  1. On the left menu, head to Transactions and select Bank Transactions.
  2. Go to For Review tab.
  3. Look for the payment transaction and click it.
  4. Categorise or Match the transaction to the related invoice, then click Add.

Another reason is a duplicate or unapplied payment. Recorded payment that's not linked to the invoice turns into an Unapplied Payment. This happens when you already paid the invoice but the invoice transaction was deleted. This causes the payment transaction to unlink from the invoice and converting into an Unapplied Payment. To fix this, create a Receive Payment transaction and apply the unapplied payment from the Credits section.

If you mean by cannot click the Mark as Paid button to a bill, I recommend opening your QBO from another supported browser or incognito mode to ensure cached files aren't the cause of this case. Then, proceed to clear your browser's cached files to ensure everything runs smoothly with QBO.

Furthermore, you can consider running a report with supplier totals in QBO. This reports shows all payments you made to your suppliers.

If you have further concerns, feel free to share how the payment and the transaction was made and how you're trying to apply it. The more details, the faster we can assist you.
