Can I make a transfer from an asset account into a COS account and make the cost billable to a customer? TIA

Hello there, tracey2972.

The option to send reminders without an invoice isn't possible in QuickBooks Online. You can generate an estimate and send it to your customer to keep them informed of the costs. When you're ready to invoice them, convert the estimate into an invoice.

Here's how:

  1. Click the + New.
  2. Select Estimate.
  3. Find your customer from the Customer dropdown.
  4. Set the Estimate date and the Expiration date.
  5. Enter the products and services you plan to sell.
  6. Enter any other info you need.
  7. Once done, hit Save and close or Save and send.

Convert an estimate to an invoice:

  1. Go Sales menu, then All Sales tab.
  2. Find the estimate.
  3. In the Action column, click Create invoice.
  4. Select Remaining total of all lines option if you want to create invoice on the entire estimate amount.
  5. Choose Create invoice.
  6. Make any changes to update the invoice.
  7. Check the customer field and ensure the invoice is going to the right person.
  8. Make sure there's a linked Estimate link on the invoice. This shows the converted estimate. QuickBooks won't create a separate transaction.
  9. Once done, hit Save and close.

Can I make a transfer from an asset account into a COS account and make the cost billable to a customer? TIA

Hello Tracey2972,

Welcome to the Community page,

So it is not possible to transfer between account you would need to do a journal to show it however you can't make a journal billable. Also to add if it was to be billable, it'd need to hit debtors not COS, if you wish to do that, you are better off declaring a bill with COS as the account and indicating its billable, but there is no option to transfer from an asset.

When we usually buy things I mark them as billable and they go straight to the unbilled report ready to invoice straight out to customers.

This time we bought some billable items for resale and have held on to them briefly so I allocated them to an asset account (we don't use stock and it would get messy if we did).

Now we've sold those items on but aren't going to invoice them for a couple of weeks but I need a reminder to charge for them.

Any ideas?
