How do I right off bad debt ie 40 pence

Let's create and apply this to a credit note, Kenneth.

 

This process clears the unpaid balance from the Accounts Receivable (A/R) and records the loss as a Bad Debts expense.

 

Please consult your accountant or financial advisor to ensure compliance with your policies and any tax obligations before proceeding.

 

To start, you'll need to set up a Bad Debts expense account (if not yet created):

 

  1. Go to the Gear icon and select Chart of Accounts.
  2. Click New account and in the Account name field, write or name it as "Bad Debts".
  3. Choose Expenses for the Account Type and Bad Debts for the Detail Type.
  4.  Click on Save after.

 

Then, create a placeholder item for the bad debt. This isn't a real item; it's just to balance the accounting.

 

Here's how:

 

  1. From the Gear icon, select Products and services.
  2. At the upper right, click New, and then Non-stock.
  3. Name it the way you want, and from the Income account dropdown, choose Bad debts.
  4. Checked the I sell this product/service to my customers box.
  5.  Save and close after.

 

Once done, create a credit note for the bad debt:

 

  1. Click the +New button and select Credit note.
  2. Select the customer and choose the Bad Debts item in the Product/Service section.
  3. Enter the write-off amount and save your changes.

 

Let's apply it to the invoice by following these steps:

 

  1. Click the +New button and choose Receive payment.
  2. Select the appropriate customer.
  3. Locate the outstanding invoice and click on it, then apply the credit note under the Credits section. See the sample image below.

  4. Select Save and close.

This way, your accounts receivable and expense records stay accurate, and the customer balance is resolved.
