Payroll journal items doubling balance sheet

I run monthly payroll via Quickbooks. Each bank transaction is correctly matched to the right journal entry. However - my balance sheet seems to count each payroll twice.

What should I have done differently?

Payroll journal items doubling balance sheet

Let’s verify and get this resolved, @trianglet.

You can generate a Trial Balance report in QuickBooks Online to review and verify if you’ve posted your journal entries correctly.

Here’s how:

  1. Go to your Reports menu.
  2. Type in and select Trial Balance.
  3. Click Customize.
  4. Filter the needed information.
  5. Press Run report.
  6. From there, check the total amounts.

Please know that the total debits and credits on the Trial Balance should be equal. It means the total amount of debits equals the credit balance.

If they’re different, you can contact your accountant for further assistance. They can provide information and help ensure your payroll journal items are recorded accurately. Otherwise, perform some troubleshooting steps.

First, try accessing your QuickBooks account in an incognito window for testing. Private mode prevent storing web history and will give you a clean slate. Below are the shortcuts keys you can use for quick navigation:

  • Google Chrome: Ctrl + Shift + N
  • Safari 11 or newer: + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P

Once logged in, check your balance sheet. If everything is correct, get back to your regular browser and clear its cache. Doing this helps the program to run better. You can also use other supported browsers as an alternative.

You can read this article to help you understand double-entry bookkeeping: Double-entry bookkeeping guide. It gives you knowledge of how it creates a mirror image allowing you to compare one column of credits against a column of debits and easily spot any discrepancies.
