Can you set an employee up to do invoices and estimates but block them from seeing the company finances?

Hello, Sonia.

Yes, we can, and I'll gladly help you set them up to do invoices and estimates in your QuickBooks Online account.

All we need to do is to set them up as a Standard User, then assign them to Customers only. Here are the complete steps:

  1. Click the Gear icon, then select Manage users
  2. Proceed with the Add user button.
  3. Set Standard user for the type, then click Next.
  4. For access rights, select Limited, then check Customers
  5. Set the user's settings if needed, then hit Next.
  6. Enter their first and last names, then add the email address under Email for the invitation link.
  7. Hit Save

About the company finances, are you trying to block them from viewing all reports in QuickBooks? If this is the case, this setup only lets them view customer and debtor reports. We're unable to completely block them from seeing all listed reports.

However, the Advanced plan has more customisation options for access rights. We may be able to block them from seeing all reports but still allow them to do invoices and estimates.

Check these articles if you need more details about adding users and setting their access rights:

After setting them up, we can look at the Audit log report if you need to check your employee's activities and actions within your company file. I'll add this article if you want to learn more about it: Use the audit log in QuickBooks Online.

Let us know if you have more concerns about adding users to your company file. If you need help with your entries and reports, add the details to your reply. We're always here to help.
