We are currently using the desktop version, where we can customise the invoice template. Because QB are no longer supporting the desktop version, so we have to change to the online version.
Problem, on the desktop version we can add columns which allow us to add free text, they have nothing to do with the accounting side of things. This means we can send 1 invoice on a daily basis to each customer which has ALL of that days jobs on it. (See Desktop Invoice File).
Whilst you can customise the online invoice, the "our ref" and "your ref" fields appear at the top of the invoice. This means each job will have to be invoiced separately. We can have up to 20 jobs per customer, we simply would not have the time to invoice each job.

Hi @Noko 1960
QBO invoice customisation is very limited - even using the (now removed) .docx import feature the columns were restricted. Other than adding Service Date column & SKU/Item Code column - neither of which are free text - that's your lot.
A workaround could be adding Our Ref / Your Ref as a second line (just hit the return key inside the Description field) but that's taking away from space on the invoice.
Hope this helps.
Good Morning, @Noko 1960.
As much as I'd like to help you with your concern, I would like to clarify what it is that you'd want me to help you with. Would you like to create and customise invoice template in QBO so you can send it to your customers all at once? Any additional information would be incredibly helpful.
Feel free to get back to me here in the Community. Take care!
On the desktop version we can customise the invoice columns to reflect your ref and our ref in the columns section. They are free text and have nothing to do with accounting.
This allows us to invoice each job on the same invoice to one customer (one days work), as per previous attached screenshot.
We want to recreate this on the online version.
So although you can customise the online version invoice template, it does not place the your ref and our ref within the columns of the invoice but places them within the header information (please see attached screenshot).
This means that we have to invoice each job separately. No time to do this each day
Question, How do we replicate the invoice from the desktop version on the online version?
Thankyou
Hello Noko 1960, so if you go to custom form styles in the main cog wheel> click on invoice template that is all that you can add or take away in that section there is no way of adding anything extra if it is not in custom form styles. You can always leave it as feedback within the main cog wheel.

Dear Quickbooks Team and Ashleigh1.
Please do not read this as I'm being aggressive, I'm just fraustrated.
I was totally aware of this issue approx 18 months ago, I left feedback sent emails to the QB team, but got nowhere as no one seemed to understand what I was talking about. I felt that everyone in QB were just shrugging their shoulders. I cannot believe that QB could not have used the same desktop platform with improvements. So we were stuck with the desktop version and had to pay a monthly fee for the privilege. However, we have enjoyed excellent support when we had two computer issues.
The only work around I can come up with is to continue using the desktop version which meets our invoicing needs but will not meet HMRC needs in the future, hence the discontinuance of the desktop version. Then transfer the monthly sales total and monthly bills into the online version.
Not very making accounts simple QB Team.
Hi Paul 72,
Thank you for your input and you have hit the nail cleanly on the head. There is no work around that will enhance our workflow, instead it will now add to it.
Perhaps we can find another platform to use before the desktop version is no longer supported.
Again thanks.
Kind regards
John
I am experiencing the same issue. I have used Quickbooks for over 20 years. I find it immensely frustrating that the American version has all the custom options available. I cannot understand why the UK version is not being updated accordingly before the desktop version is retired. I was told 2 years ago that this facility was coming in the next big update in the Autumn. False promises. Very disappointed. I shall be moving to an alternative if this does not materialise. I hope many others follow suit.
