How can you make invoice numbers longer automatically?

I have seen how to make custom numbers but I don't want to have to add a new number manually each time. What am I missing...

How can you make invoice numbers longer automatically?

Hi r-sorrell

When you have the custom transaction numbers activated you are able to enter your own sequence as you have discovered. Once you have saved the first sales transaction the next transaction will automatically be the next number in the sequence you entered. If you de-activate the custom transaction numbers and create the next sales transaction it will then automatically populate the number in the sequence you entered.

It's good that you already have an idea on how to use the Custom transaction numbers feature, r-sorrell.

After setting a number to start with your invoice, QuickBooks Online follows the number sequence when creating new ones. For example, you enter invoice number 10011. The next invoice numbers will 10012, 10013, and so on. You will only enter the invoice numbers manually if you want to change the sequence.

If you want the number sequence to stay as it is, you can turn of the Custom transaction numbers feature. You can follow the same steps when you turn it on or refer to the article I mentioned earlier.

Feel free to drop by again if you want to clarify something.

How can you make invoice numbers longer automatically?

Hey,

Thanks for the reply. I must have missed the setting of the number when setting up. Currently it is a 4 digit number and I would like to make it a 6 digit number. I have seen the custom transaction number option but does that then create them automatically? It seemed to me to just show a blank box each time. That wont actually work for us as we won't have someone creating them manually each time.

Glad to hear from you again, r-sorrell.

Given that the Custom transaction numbers feature is already turned on, you'll need enter the number manually and save it to start the number sequence. For example, I'll create an invoice with the number sequence that I want:

  1. Click the Create (+) menu at the top and select Invoice.
  2. Enter the transactions details.
  3. In the Invoice no. field, enter the number to start the sequence.
  4. Click Save and close.

The next time I'll create an invoice, it'll show 5042, 5043, and so on. The key to this is to save the invoice to start a new sequence.

You got me if you have additional questions.

How can you make invoice numbers longer automatically?

Hey,

I feel like I have done this....

I created the invoice numbers to go from 100001. I did it manually for 100002 as well and then saved and closed, then turned it off in settings again. When I created a new invoice it was 1003...
