Hello Eddie, Thanks for your query about recurring invoice transactions and the audit log. If you go into the invoice the recurring transaction has created, and open it click on more on the bottom black banner and go to audit history can you see any updates in that section?
Unfortunately no. All it shows is information about it being sent out on the due date. It also says "You can see up to seven years of history in your audit log." But it doesnt.
Hello Eddie, We've tested the audit log and any edit on the recurring transaction should show under the audit log, all users>this year>under the events drop down> recurring transactions. Can your try opening the QuickBooks Online in a private browsing window and then going to audit log? Thanks
I might be wrong but the Audit Log will only show edits to posting transactions (i.e. those that affect the accounts). It does not save edits on non-posting items like Recurring Invoices/Templates.
In this case, the Audit Log will show edits to the saved Invoice (after the first Save) but if the Recurring Invoice Template was edited & saved before an Invoice was created from that Template you will draw a blank.
If you think the actual saved Invoice has changed - that's different & something that the Audit Log should pick up.
However! ... There was a bug a few years ago that made a mess of Customer Addresses when re-using Templates between customers (https://quickbooks.intuit.com/learn-support/en-uk/transactions/bug-in-recurring-transactions/01/400940) .
I don't know if this ever got fixed (or even properly acknowledged) as I changed workflow to create a new template or duplicate for each new customer rather than simply changing the customer name.
Hope this helps.
Hi,
I tried in a private window - no difference.
Im referring here to changes to line items on a recurring invoice - not the template
I looked for another recurring invoice that I knew I had changed and could not find the change in the audit log.
I looked for and found the transactions when the system created and then emailed the invoices - both showed up.
So I can see in the audit log that the invoices were sent out, but not the changes that were made prior to the sending date.
Thank you.
Im changing line items on a recurring invoice - not the template itself. Perhaps you are right - I cant see a log entry for when the line item was changed, only when the invoice was created and sent on the due date. If that the case its rather a hole not being able to find out who tweaked an recurring invoice.
Hello Eddie, we see yes if the template was changed it would show but not the line item on the transaction. That will not show in the audit log, unfortunately. We will pass on your feedback to our product development team.
Seems a bit of an oversight! Just to confirm my understanding: There is no way to find out who edited the content of a recurring invoice.
This will show All Users / Recurring Transactions / Current Year.
Who added/edited a Template & when but NOT what they changed.
(you might be able to work that out by finding earlier edits in the history)
To see who/what/when of a Posted Invoice the best way is to go to the invoice itself then More (down at the bottom) & Audit History.
Hope this helps.
Thankyou. The more at the bottom only shows the date the invoice was created and posted.
