HOW TO UNDO DELETED INVOICE?

Welcome back to the QuickBooks Community, simon. I'll be sharing details on how deleting entry works in QuickBooks. Then, I'll ensure you can perform an alternative way to achieve your goal.

Please know that doing deleted invoice or restoring a deleted transaction automatically is currently unavailable in QuickBooks Online. This is because the program removes all the deleted entries to make sure your sales data stays accurate.

For now, the only option is to use the Audit log to recover the details of the deleted transaction and re-enter them manually in QBO.

Here's how:

  1. Click the Gear icon ⚙ and choose Audit Log.
  2. From the Filter dropdown menu, select the appropriate user, date, and event(s).
  3. Click the Apply button.
  4. Locate the deleted transaction. (Tip: To easily find deleted transactions, use the browser search Ctrl + F and type "deleted").
  5. Under the History column, choose View.
  6. All the details needed for the transaction can be found under the Event column.
  7. Using the information from the Audit log, you can re-enter the transaction with its original transaction date.

For additional information, you can open this article: Use the audit log to re-enter deleted transactions.

Lastly, you may refer to this article to see details on how the Sales page gives you a great at-a-glance view of the status of your sales transactions, like open and paid invoices: View sales transactions in QuickBooks Online.

Keep me posted if you have any other concerns about your invoices in QBO. I'll be happy to lend a helping hand. Have a great day, simon.

HOW TO UNDO DELETED INVOICE?

Hi ChristieAnn,
Thanks for your reply.
What is bti?
I already recreated the deleted invoice manually.
QB is a surprisingly volatile app to me, any error is harshly punished. Many of my invoices are to regular clients often with a slight subject & date change. I was hoping to simply recall a previous invoice, edit the minor changes & save as a new invoice but surprisingly that doesn’t work. To be safe it seems I’ll have to always create a new invoice from scratch, how ridiculous.
What is the alternative to QBO? I currently pay a monthly subscription and run QBO on my desktop, iPhone/iPad, there’s a non-online version?
Thanks for your support,
Simon

HOW TO UNDO DELETED INVOICE?

I appreciate you for coming back to the thread and adding additional information about your concern with managing invoices, simon. I'll ensure you can perform an alternative way to achieve your goal and send feedback so your suggestion is forwarded to the Product Development Team.

Since opening the previous invoice and making minor adjustments and saving it as a new one did not work for you, I recommend utilizing the Copy option from the created invoice as an alternative step. This way, you won't have to create a fresh invoice from scratch, and you can revise as needed before saving the entry.

Here's how:

  1. Choose the Customers & leads menu at the left panel, then select Customers.
  2. Find the customer and choose the specific invoice.
  3. Click the More option located at the bottom of the entry and select Copy.
  4. Make any changes or revise the details if necessary.
  5. Choose Save and new or Save and close.

Furthermore, please know that visiting the Audit log to view the details of the deleted entry and use it to recreate a new one is the only option to retrieve an invoice. With this, I suggest going to the Gear icon in QuickBooks Online. From there, you're able to choose Feedback to submit a request about having the option to automatically retrieve deleted transactions in QBO. Any recommendations are sent to our engineers for consideration in future updates.

On the other hand, we are unable to provide a suggestion for a specific none online version or program to use to achieve your goal.

Lastly, you may refer to this article to see details on how the Sales page gives you a great at-a-glance view of the status of your sales transactions, like open and paid invoices: View sales transactions in QuickBooks Online.

Please don't hesitate to click the Reply button below if you still have concerns about your invoices. I'm always here to help, simon. Have a good day!
