Hello, philiptarry-gmai. 

 

Thank you for reaching out to the Community. Once the transaction has been downloaded and reviews in QuickBooks from your bank, this prevents it from downloading duplicates when you reconnect it.  

 

When reconnecting, remember to select the date of the last transaction made with the account to ensure your transactions are up to date in QuickBooks. To learn more, Here's an article as your guide: How to re-authorise your bank connection

 

However, if you're unable to locate the transaction, you'll need to download your transactions as a CSV file from your bank. Then, import the data in your QuickBooks Self-Employed. Here's an article that includes the step-by-step process: Add older transactions to QuickBooks Self-Employed.

The issue I have is that having re-authorised connection to my bank, all transactions that I previously categorised are now uncategorised (700+ of them) meaning I must potentially go through the entire history categorising transactions as business/personal etc

I am still having this issue, I was told the issue was being escalated but so far no contact and no resolution

Thanks for sharing your concerns in the QuickBooks Community, @Bianca9 and @philiptarry-gmai.

This isn't the kind of service we'd want you to experience. Having said, let me provide you a workaround to ease your task in QuickBooks Self-Employed (QBSE).

 

When re-authorizing a bank connection, you have to disconnect and reconnect it again. During disconnection, all of your downloaded transactions will be removed from the Banking page. After reconnecting, QuickBooks will automatically download your banking data again. 


Since this process refreshes the connection between the program and your bank, all your transactions will be restored too. This is why you have to manually recategorize them again.

As a workaround, you can create bank rules to quickly categorize your recent and past transactions. Here's how:

 

  1. Select Settings ⚙ and then Rules.
  2. Select Create Rule.
  3. In the Description field, enter the customer or vendor you want to create the rule for. Select to check the Match exactly checkbox if you want QuickBooks to only use the rule when transactions match exactly.
  4. From the Account drop-down menu, select the account you want transactions to go into.
  5. From the Type dropdown, select BusinessPersonal, or Split.
  6. If you want QuickBooks to categorize transactions, select the Category link and choose a category.
  7. If you the rule to apply to transactions you've already categorized, select to check the Also apply to past transactions checkbox.
  8. When you're done, select Save.


Now, QuickBooks will automatically apply your new rule to all future transactions.

After categorizing, the program will put them on the correct line of your Schedule C.  This also organizes your income and expenses so you know what areas of your self-employed business have the biggest impact.

No no no this is not a solution at all. When I categorise bank transactions, I attach invoices/ receipts to them.

Using rules is definitely not an adequate solution. it makes linking the bank account to QBO untenable.

 

In my case, I linked the Barclays bank account and selected the date 1 Sept 21 from which to upload transactions. QBO ignored this selection and instead uploaded historic transactions too so I actually had duplicated transactions in QBO. The uncategorised ones were a duplicate of transactions I already categorised so I had to select them and exclude them.

 

Why did it ignore my date selection? Maybe look into this bug first.

This is not a solution...

The same issue occured 3 months ago and all my previously catgorised transaction lost their personal/business catogories. After raising it to the technical team, it was resolved almost immediately and my previous transactions were correctly restored. When I re-authorised the connection a couple of days ago, all the latest 3 months of tranactions retained their categories, but those prior to June lost them all, as before.

The manual workaround of creating rules etc is not satisfactory as it would still be v time consuming and defeats the object of one the key features of the software.

If you are unable to provide a satisfactory solution, I might as well go back to spreadsheets and I will make a claim for my subscription as the package isn't worth using with these glitches.
