Is there anyway of tracking old expenses / costs from connected business account more than 3 months ago before I had Quickbooks?

Getting your old expenses from your connected business account is easy peasy, @usercara-mcewan.

 

Since QuickBooks only download 90 days of your lastest transactions when connecting bank accounts, you'll want to import your old expenses manually to track them. Let me guide you through the process.

 

First off, let's download the old expenses from your bank to a CSV file. Here's how:

 

  1. Sign in to your bank's website.
  2. Follow your bank's instructions for how to download CSV files of your transactions to your computer. 
  3. Check the date range for the download. Make sure not to include the transactions already downloaded in QuickBooks.
  4. Download your transactions and save the file you can easily find.
  5. Then, review the file format and size (350 KB) before importing it.

 

Once the file is ready, you can now import it manually in QuickBooks Online (QBO). Please be guided to the steps below:

 

  1. Click Banking from the left menu.
  2. Select the connected bank account.
  3. From the Link account drop-down, choose Upload from file.1.PNG
  4. Hit Browser, then find and select the saved file.2.PNG
  5. Click Next.
  6. Select the bank account from the QuickBooks Account drop-down. Then, hit Next.3.PNG
  7. Follow the onscreen steps to match the columns on the file with the correct fields in QuickBooks. And, select Next.
  8. Click Let's go once you're ready.

Thank you so much for this Mark! Unfortunately after a 30minute call with my bank they have said there is no way to download that data onto a csv file! They only option I have it to download the statements month by month into pdf!

Hi usercara-mcewan You're only able to upload bank statements if they are in a Excel/CSV format. As they are in a pdf format you could see if there is a pdf - excel converter available on the internet.

ive got my files converted but now when I go to upload them I’m having trouble with the ‘mapping’? I want to see credits and debits for the account

If you've used the 4-columns template (that has debit and credit), you need to choose the 2 column option on the Map columns window. I'll show you how.

 

  1. When uploading the file, choose the 2 column: separate positive and negative numbers on the Map columns page.
  2. Map the fields (DateDescriptionAmount or Debit and Credit).
  3. Click next to complete the process.

 

Once done, here's how your transactions are uploaded into QuickBooks.
