Problem when I send an invoice or estimate to customer the from address is "quickbooks@notification.intuit.com. This is causing confusion with my customers

Some customer have been replying to this email address and of course don't get a response. Can it be changed to my own email address

At the moment, it isn't possible to change or remove this address from emailed sales forms that are sent from the QuickBooks server.  

 

To prevent any confusion, you may wish to add a note in the 'message displayed on' field on the invoice/estimate directing customers to the business email contact for any queries.

 

We appreciate you sharing the experience from the customers perspective and we'll be sure to take this onboard when considering future updates.

Quickbooks, 

 

This is a major breach of GDPR surely? You have a duty of care for your software customers, and your customers' customers. Your clients are not only sending out invoices with names, addresses, financial information and more, they are using your software as an email client. They are corresponding within your software that names the email sender as their company, but with your email address.

 

Customers do not know what you do with these replies, I hope they are automatically deleted, but who knows? Someone in your company could store or redirect them for criminal purposes

 

I am sending this as a customer who received all his correspondence since a quote from [email address removed] When I replied, to an urgent request, I realised much later that the reply had gone to you, and I had missed the opportunity to contact them about an update.

 

RECOMMENDATION

You need to act fast, I suggest (in order of action)

  1. You need to check emails are not stored or diverted
  2. Bounce emails back immediately to the sender, to alert them that they have emailed the wrong company
  3. Change the the email address to include "no-reply", to assist senders of the issue..
  4. I guess it is not easy to give individual email addresses to your mailouts as this may catch spambots, though you do substitute the company name. So you need to devise, within your software, a way to allow replies to notifications, to go to the companies the have come from.

If this continues, I would recommend anyone in the UK, who feels aggrieved by this should consider lodging a complaint to Intuit first, and if not satisfied that emails keep going to Intuit and their response is unsatisfactory, to lodge a complaint at https://ico.org.uk/
